Administrative Assistant

• Assist and provide support for all office employees and make sure they have everything they need to do their jobs efficiently.
• Assist and provide support to the FAST Project Manager for administrative and other project-related tasks (e.g. scheduling meetings, taking meeting notes, compiling meeting minutes, etc.).
• Provide additional support to team members as needed (e.g., miscellaneous tasks such as assisting with testing/training materials development, printing/collating documents etc.).
• Act as the main contact for all vendors and payments (e.g., coffee, etc.).
• Assist with relocation of new hires (e.g., provide housing suggestions, work on residency permits, access requests, general project onboarding, etc.).
• Order and maintain office supplies.
• Ensure first aid kit is available as well as miscellaneous supplies.
• Stock items and maintain general cleanliness in common spaces throughout the office (e.g., break room(s); training room, meeting rooms, etc.).
• Maintain office phone list.
• Prepare for meetings (i.e., set-up for any special meetings).
• Handle general mail pick up & drop off.
• Prepare FedEx shipments and arrange for pick up or drop off, including maintaining the FedEx mailing materials on site.
• Coordinate and facilitate social outings and lunches as needed.

Administrative Assistant – Part-time

Video Editor

• Create and develop multimedia (audio/video) content for client stories, internal company videos, product marketing videos, recruiting videos, corporate training, and other projects.
• Support livestream broadcasting to a variety of audiences.
• Recording and editing of audio/video content, editing footage and sound files.
• Capturing/importing media content.
• Preparing content for final output.
• Creating and inserting static and motion graphics, titling, adding music/voice-over/sfx etc.
• Organize, archive, and maintain raw media and project files, adjusting priorities to meet tight deadlines as needed.
• Manage resources and production schedules for various digital media projects.
• Planning and execution of video shoots: location scouting, participant coordination, and resource scheduling.

Video Producer

Graphics Designer

• Design graphics, layouts, and materials for print and digital platforms, including brochures, websites, presentations, social media, and event collateral.
• Work closely with marketing, recruitment, and client teams to understand goals and translate them into impactful designs.
• Use your artistic abilities to convey complex ideas and evoke emotion through visuals, ensuring alignment with brand guidelines.
• Assist in maintaining web content, working with HTML, CSS, and WordPress to implement design updates.
• Support video and motion graphics creation using After Effects, Premiere, or other tools as needed.
• Manage multiple projects simultaneously, ensuring timely delivery while maintaining high-quality standards.
• Stay current with design trends and technologies, bringing fresh ideas to the table to keep our materials engaging and relevant.

Graphic Designer

• Overseeing all aspects of FAST graphic design
• Managing the day-to-day output of the graphics and video teams
• Ensuring the delivery of high-quality visual content that aligns with FAST’s branding guidelines and objectives
• Designing engaging, meaningful graphics, layouts, and materials for print and digital platforms
• Collaborating with marketing, recruitment, and client teams to understand goals and translate them into impactful designs
• Assisting in maintaining web content, working with HTML, CSS, and WordPress to implement design updates
• Supporting video and motion graphics creation using After Effects, Premiere, or other tools as needed
• Staying current with design trends and technologies, bringing fresh ideas to the table
• Motivating and inspiring a team of designers and leading them to take their designs to the next level by providing guidance and effective feedback

Graphic Design Team Manager

Implementation Specialist

• Participate in the full project lifecycle, from requirements-gathering through production support.
• Much of the work at FAST happens on our client sites as part of our product implementations.
• Consult with agencies to understand their business needs and how to implement the FAST software to best serve their customers.
• Demonstrate confidence while clearly delivering information at both a high level and a technical level when applicable.
• Work with your team to problem-solve and respond quickly to changing project requirements and customer needs.
• Identify and investigate complex issues to make decisions and develop solutions.
• Configure client-specific functionality to meet each agency’s unique requirements that go beyond our out-of-the-box functionality.
• This configuration is performed using FAST tools within the software’s user interface, as well as either VB.Net or C#.
• Create and modify SQL queries to efficiently retrieve data from a relational database.
• Implement new features and navigate them through testing and deployment.
• Maintain confidentiality and adhere to company policies along with all relevant laws when exposed to protected client information.

Implementation Consultant

Learning and Development

• Plan and manage overall training schedules and coordinate training programs with project teams
• Coordinate logistics for in-person and virtual sessions and prepare training materials for delivery
• Implement a train-the-trainer approach to equip client trainers to train end-users
• Create training materials including video and self-study modules, job aids, user guides, help articles, and presentations
• Collaborate with subject matter experts and project teams on instructional design and update programs based on feedback
• Support training for project staff and testers to ensure software understanding
• Evaluate training effectiveness by collecting and analyzing participant feedback
• Manage multiple training projects and customize training for client needs
• Collaborate with implementation teams, developers, and clients and maintain stakeholder communication
• Additional contributions may include testing coordination, test scenario development, change management activities, and system-related setup (task management, user roles)

Training Coordinator
