About the role
- Manage and control vacation scheduling
- Input, calculate, and verify vacation entries in the system
- Administer corporate benefits (transportation allowance, meal/food vouchers, health insurance, etc.), handling enrollments, removals, and employee inquiries
- Process monthly purchased benefits orders and reconcile invoices
- Update and maintain employee records in the management system (RM) in an organized and confidential manner
- Generate management reports and employee certificates (e.g., medical certificates)
- Assist employees and managers in person or remotely, answering questions about internal policies, procedures, and basic labor legislation
- Assist in meeting deadlines and compliance obligations
- Support labor and tax audits by organizing requested documentation
- Ensure that benefits comply with company policy and applicable legislation
Requirements
- Bachelor's degree completed or in progress in Administration, Accounting, Human Resources Management, or related fields
- Minimum 6 months to 1 year of experience in administrative roles, preferably in a Personnel/HR department or accounting firm
- Basic knowledge of labor and social security legislation (CLT); payroll processes and labor calculations (hire, vacation, termination); personnel routines (timekeeping, documentation, eSocial)
- Intermediate proficiency in Microsoft Office (Excel is essential for formulas and spreadsheets)
- Organized with strong attention to detail
- Sense of responsibility and commitment
- Good verbal and written communication
- Ability to work with deadlines and handle multiple concurrent demands
- Collaborative mindset and willingness to learn
- Ethical behavior and confidentiality when handling information
- Previous experience in an accounting firm
- Solid knowledge in benefits administration (health, dental, life, private pension, etc.), including negotiation and relationship management with providers
- Practical experience with the RM management system
- Intermediate to advanced Excel skills (functions such as VLOOKUP, pivot tables)
