About the role

  • Independently carry out the secretarial tasks of the Kultur aktuell department, including document creation and management of follow-up reminders
  • Prepare, organize and take minutes of meetings, including compiling meeting materials
  • Support the editorial preparation and follow-up of broadcasts and podcasts according to editorial guidelines, including studio and production bookings and requests regarding the acceptance of contributions
  • Communicate with freelance editors and authors; maintain planning and editorial systems and metadata; process fees; schedule interviewees and provide guest support; organize broadcasts and events
  • General office organization and administration, e.g., task and appointment management in Outlook, coordination and organization of (central) mailboxes, file management, travel bookings and expense reporting according to guidelines

Requirements

  • Completed commercial vocational training or a comparable professional background
  • Relevant professional experience in secretarial/assistant roles, ideally in the media sector
  • Confident user of common MS Office and SAP programs; experience with editorial systems is desirable
  • Strong interest in cultural topics and our program offerings
  • Very good command of German and a confident, stylistically assured manner of expression; foreign language skills desirable, preferably English
  • Independent and structured way of working, reliability and the ability to act in a solution- and process-oriented manner
  • Strong communication skills, team spirit, high social competence and loyalty
