About the role

  • Maintain up-to-date forms and collaborate with word processing on templates
  • Type, proofread, compare, and edit legal and business documents under time-sensitive deadlines
  • Enter attorney time, process and assist with the client billing process, including reviewing, and editing pre-bills
  • Prepare and submit expense reimbursement reports, vendor invoice processing
  • Docket deadlines, maintain attorney and client records, prepare/organize binders, conflicts checks, open new client and matter files, and manage calendars
  • Coordinate and schedule messenger, overnight delivery or courier services as needed
  • Coordinate appointments, meetings, conference calls, and travel arrangements
  • Regularly check in with assigned executive legal secretaries and attorneys to ensure projects are on track, exercise judgment on when to seek guidance, and assign tasks to support staff while ensuring timely completion
  • Communicate project status clearly to all team members
  • Attend training classes
  • Take full ownership of personal success and the success of attorneys, welcoming challenges and proactively solving problems
  • Stay curious, engaged, and solution-oriented, offering ideas to enhance service, teamwork, and efficiency
  • Understand firm and practice group objectives, identify opportunities to contribute, and actively participate in solutions to achieve desired goals
  • Maintain regular and consistent attendance and punctuality
  • Adhere to schedule by being timely on breaks, lunches and meetings

Requirements

  • 1+ years’ experience in a professional office preferred
  • GED or High School Diploma
  • Self-starter with a high degree of attention to detail
  • Ability to accurately type 50+ wpm
  • Basic knowledge of Microsoft Office products
  • Intermediate knowledge of Microsoft Office Word
  • Ability and willingness to learn new programs and program updates
  • Ability to express self effectively, both orally and in writing
  • Excellent grammar and proofreading skills
  • A highly professional demeanor and appearance; adhere to dress code
  • Ability to work in a team-oriented, service focused environment and to handle stressful situations in calm, composed manner
  • Ability to prioritize tasks and to complete projects with minimal supervision
  • Ability to follow client confidentiality guidelines
  • Ability to pay close attention to detail and be highly organized and accurate
  • Strong time management skills.
