About the role
- Resource Allocation & Scheduling: Develop and manage the master staffing schedule for audit professionals across multiple engagements.
- Resource Allocation & Scheduling: Match staff skillsets, credentials, and availability to project needs in partnership with audit leadership.
- Resource Allocation & Scheduling: Monitor upcoming and active engagements, proactively adjusting assignments for new work, extensions, or changes in scope.
- Resource Allocation & Scheduling: Maintain real-time visibility of staffing capacity using firm-approved scheduling tools.
- Capacity Planning & Workload Management: Forecast resource needs based on engagement pipeline, seasonal demand, and hiring plans.
- Capacity Planning & Workload Management: Monitor workload distribution to ensure equitable utilization and prevent burnout or underutilization.
- Capacity Planning & Workload Management: Recommend staffing solutions during peak workloads, including overtime, contractors, or alternative delivery approaches.
- Conflict Resolution: Identify and resolve scheduling conflicts promptly and professionally.
- Conflict Resolution: Balance staff preferences with client requirements and firm priorities.
- Reporting & Analysis: Produce regular reports on utilization, forecasted capacity, and workload balance.
- Reporting & Analysis: Provide insights and recommendations to leadership using data visualizations and KPIs such as chargeability, realization, and project cycle times.
- Collaboration with HR & Talent Development: Partner with HR to align onboarding, offboarding, and career development with staffing needs.
- Collaboration with HR & Talent Development: Track certifications, training, and technical competencies to improve skill-based scheduling.
- Collaboration with HR & Talent Development: Contribute to performance reviews by providing insights on workload diversity and team contributions.
- Collaboration with HR & Talent Development: Oversee and assist with licensing functions by coordinating applications, renewals, and compliance tracking to ensure projects and staff remain in good standing with regulatory requirements.
- Process Improvement: Identify and implement process enhancements, automation opportunities, and best practices in resource management.
- Process Improvement: Provide training and support for engagement managers on scheduling protocols and tools.
Requirements
- Bachelor’s degree in Business, Accounting, Finance, HR, or a related field.
- 5+ years of experience in resource management, project staffing, or operations—ideally within a professional services or accounting firm.
- Background in Audit or public accounting strongly preferred, with the ability to support project needs, ensure accuracy, maintain compliance, and align with client and firm requirements.
- Familiarity with the audit lifecycle, busy season demands, and assurance service lines.
- Proficiency with resource scheduling systems (e.g., ProStaff, Retain, Deltek, Planview).
- Strong analytical skills with advanced Excel and reporting tool expertise.
- Experience with workflow automation or process optimization.
- Excellent communication, collaboration, and conflict-resolution skills.
