About the role
- Manage full-cycle recruitment: create strategies, write/revise job descriptions, manage staffing agencies, conduct screening interviews, compose offer letters, monitor selection process through acceptance
- Handle background checks
- Obtain working VISA with immigration lawyer if required; obtain Trainee VISA and plan training program if required
- Prepare payroll data, arrange payroll processing with payroll company, calculate overtime per federal and state law
- Handle payroll deductions for health insurance, 401k and commuting benefits; submit payroll data to CPA for gross-up and transfer to ADP
- Respond to unemployment claims to DOL and manage employee changes (new hires, promotions, terminations)
- Administer 401k program including monthly contributions, preparation of forms and returns, and annual reviews
- Maintain and update employee information with health insurance providers
- Maintain compliance with federal, state and local labor laws, including exempt/non-exempt, minimum wage, overtime
- Handle FMLA, PFL, ACA accommodation requests, disability claims, short and long-term disability
- Maintain Employee Handbook and create/distribute communications, reports and presentations
- Prepare, schedule and conduct annual performance and salary reviews; participate in HR system updates and strategic compensation
- Schedule and conduct new employee orientations; maintain HRIS records and provide employment verifications
- Handle international transfers from overseas group companies including relocation, work VISA assistance, and individual income tax filing assistance
- Conduct exit interviews and ensure termination paperwork is completed; track, file and send reminders for compliance training
- Reports to VP, Corporate Planning & Operation and/or CFO, COO (and others as designated by President & CEO)
Requirements
- Bachelor\'s degree is required
- HR degree is preferable
- 5+ years of professional experience
- Must be native level in Japanese (Japanese bilingual)
- Experience managing recruitment, staffing agencies, and background checks
- Experience preparing payroll data and coordinating with payroll companies and CPA/ADP
- Knowledge of payroll deductions, overtime calculation, and federal/state labor laws
- Experience administering 401k and health insurance plans
- Knowledge of FMLA, PFL, ACA, accommodation requests, disability claims, short/long-term disability
- Experience with HRIS, employee records, employment verification, and onboarding/orientation
- Experience conducting performance reviews, salary reviews, and strategic compensation
- Experience handling international transfers and visa/relocation assistance
- Ability to prepare forms and returns in compliance with IRS requirements
- Ability to conduct exit interviews and track compliance training
- Availability Mon thru Fri, 9am to 5pm (business hours)
