About the role

  • Oversee day-to-day office activities as main point of contact in reception area.
  • Provide direct administrative support including scheduling appointments, meetings, and events.
  • Booking travel, mailing and shipping packages, updating contacts database and employee lists.
  • Managing keycards, badges, and Envoy system for visitors.
  • Maintaining office condition and order in storage rooms, arranging repairs.
  • Monitor office supplies and ordering new stationery and supplies.
  • Liaise with facility management vendors for cleaning, catering and security services.
  • Manage all aspects of space/infrastructure planning and provide answers/resources when requested.
  • Provide general support to visitors and assist in onboarding new hires.
  • Plan in-house or off-site activities such as parties and conferences.
  • Partner with HR to update and maintain office policies.

Requirements

  • Bachelor's degree in business administration, office management, or a related field preferred.
  • Minimum of 3-5 years of experience in office management or administrative roles.
  • Strong organizational and multi-tasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software applications, including Microsoft Office (Word, Excel, Outlook).
  • Attention to detail and problem-solving skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Certification in office management or administrative support (preferred).
  • Experience with office management software or systems (preferred).
