About the role

  • Provide operational support for WJW’s program and projects, including day-to-day activities
  • Coordinate core elements of the WJW Fellowship Program, including recruitment, onboarding, and ongoing support of WJW Fellows throughout the fellowship year
  • Communicate directly with the WJW Fellows to facilitate a smooth and rewarding fellowship year, including managing logistical details, identifying wellness and mentoring needs, and escalating challenges to the Program Director
  • Coordinate events such as the annual in-person fellowship convening, including planning, logistics, travel, and communication
  • Schedule and manage online training sessions, check-ins, and communication with fellows and host organizations
  • Support the Program Director in monitoring, evaluation, and learning by coordinating data collection, analyzing feedback, and identifying opportunities for sharing success stories with external stakeholders
  • Maintain the alumni network by keeping an updated list of alumni contact details, coordinating their attendance at key alumni events, and supporting communication and interaction between fellowship cohorts
  • Coordinate, schedule, and participate in internal/external meetings; record notes and track action items
  • Manage WJW documents, project management tools, and knowledge resources in line with CFJ’s data management policy
  • Provide scheduling and administrative support for program staff, including coordinating travel in line with CFJ’s security protocols
  • Coordinate and support WJW’s collaboration with partners and consultants in the region and internationally, including support for the drafting and execution of agreements, tracking deadlines, and maintaining the contract management system
  • Liaise with external HR, finance, on-the-ground partners, pro bono partners and the Oxford Institute of Technology and Justice, as needed, to ensure smooth coordination of WJW’s operational needs and strengthen collaborative relationships
  • Manage general inboxes and external inquiries for WJW
  • Support cross-departmental and cross-organizational projects and events involving WJW
  • Help develop WJW’s program budget
  • Track expense reports, reimbursements, vendor invoices, and travel expenses for WJW team members
  • Support drafting of grant applications, donor reports, and communications content
  • Implement protocols to improve workflow, compliance, and program outputs
  • Assist with onboarding of personnel to the WJW team, including by preparing and implementing orientation schedules, and coordinating on IT and HR needs
  • Any other task or project assigned by the WJW Program Director

Requirements

  • Bachelor’s degree or equivalent
  • Minimum 2 years’ work experience in a similar role
  • Fluency in English and outstanding written and oral communication skills
  • Strong organizational and project management skills and ability to manage multiple priorities
  • Strong interpersonal skills and ability to build relationships across cultures
  • Entrepreneurial mindset and problem-solving ability
  • Passion for CFJ’s mission and willingness to contribute across the board as part of a small team
  • Knowledge or prior exposure to NGOs, human rights, or advocacy work (preferred)
  • Advanced computer literacy, including proficiency with videoconference facilitation, spreadsheets, powerpoint, AI tools, and other applications such as Zoom, Tresorit, or Asana (preferred)
  • Experience in organizing international gatherings such as conferences or convenings (preferred)
  • Fluency in a language other than English (preferred)
  • Experience/education in law, international law/relations, or business management (preferred)
