About the role
- Support efficient document management by digitizing, organizing, and maintaining records.
- Operate scanning equipment, ensuring the accurate entry and indexing of data into digital systems.
- Maintain compliance with document retention policies.
- Provide excellent customer service by responding to document-related inquiries, resolving filing issues, and assisting with retrieval requests.
- Collaborate with various business teams to enhance document accessibility, with a focus on accuracy, security, and efficiency.
- Conduct quality control checks on scanned and uploaded documents to ensure accuracy and compliance.
- Assist with troubleshooting technical issues related to document scanning and storage systems.
- Follow data entry and document retention policies to maintain confidentiality and security.
- Monitor inventory levels of document management supplies (e.g., file folders, scanner ink) and coordinate replenishment.
- Assist in developing and improving document management workflows and protocols.
- Provide assistance with interdepartmental document-sharing needs.
- Performs other duties as may be required.
Requirements
- High school diploma or GED required; additional coursework in IT or records management is a plus.
- Strong proficiency in data entry and basic computer applications (e.g., Microsoft Office Suite, document management systems).
- Familiarity with scanning equipment and file organization best practices.
- Excellent organizational and time-management skills.
- High level of accuracy and attention to detail.
- Ability to handle multiple tasks while meeting deadlines.
- Demonstrated ability to work both independently and as part of a team.
- Excellent communication and interpersonal skills.
- Customer service oriented with teamwork experience.
