About the role

  • Support efficient document management by digitizing, organizing, and maintaining records.
  • Operate scanning equipment, ensuring the accurate entry and indexing of data into digital systems.
  • Maintain compliance with document retention policies.
  • Provide excellent customer service by responding to document-related inquiries, resolving filing issues, and assisting with retrieval requests.
  • Collaborate with various business teams to enhance document accessibility, with a focus on accuracy, security, and efficiency.
  • Conduct quality control checks on scanned and uploaded documents to ensure accuracy and compliance.
  • Assist with troubleshooting technical issues related to document scanning and storage systems.
  • Follow data entry and document retention policies to maintain confidentiality and security.
  • Monitor inventory levels of document management supplies (e.g., file folders, scanner ink) and coordinate replenishment.
  • Assist in developing and improving document management workflows and protocols.
  • Provide assistance with interdepartmental document-sharing needs.
  • Performs other duties as may be required.

Requirements

  • High school diploma or GED required; additional coursework in IT or records management is a plus.
  • Strong proficiency in data entry and basic computer applications (e.g., Microsoft Office Suite, document management systems).
  • Familiarity with scanning equipment and file organization best practices.
  • Excellent organizational and time-management skills.
  • High level of accuracy and attention to detail.
  • Ability to handle multiple tasks while meeting deadlines.
  • Demonstrated ability to work both independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Customer service oriented with teamwork experience.
