About the role

  • Lead the administration and tracking of contracts and subgrants, including approvals, renewals, compliance, and vendor relations, in collaboration with outside counsel
  • Drive the maintenance of secure, effective technology systems and ensure cybersecurity protocols are implemented and followed, in coordination with external IT vendors and Advisor, Compliance
  • Manage day-to-day office operations, supplies procurement, and facility needs to ensure a productive and safe work environment at Climate Power’s offices and co-working spaces.
  • Develop, review, update, and enforce administrative policies and procedures in line with organizational standards and best practices, including travel policies, booking platforms, and monthly organizational time tracking
  • Ensure compliance with all internal policies, regulatory requirements, and reporting obligations related to administration, including state-level employer registrations and remittances, in collaboration with the Advisor, Compliance, Director, Human Resources, and external vendors.
  • Work with key stakeholders to plan and coordinate logistics for internal and external events, meetings, and conferences as needed, including large-scale all-staff retreats.
  • Ensure mail and packages are routed properly, and manage outgoing shipping as needed
  • Assist in leading operational integration during periods of organizational change (e.g., new system launches, new policies)
  • Contribute to effective internal communication channels between project teams and the Operations department
  • Maintain team Google Drive files, ensuring clear organization and alignment with document retention policy
  • Provide logistical and administrative support to department leadership and day-to-day administrative duties as needed
  • Lead special projects as needed
  • Additional responsibilities may be assigned as needed and capacity dictates.

Requirements

  • 7+ years of experience in administration, operations, or a related role, ideally in mission-driven organizations
  • 3 years of people and/or project management experience; demonstrated success in leading departments and diverse teams and managing complex projects.
  • Experience with contract and/or grants management, vendor relations, administrative compliance, policy development, and event planning.
  • Experience with technology adoption and IT/cybersecurity initiatives, especially in partnership with external vendors.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work independently, manage multiple priorities, and adapt to evolving organizational needs.
  • Willingness to stay up to date on best practices and trends relative to the work and projects in their purview.
  • Proficiency in Microsoft Word, Excel, and Google Workspace.
