About the role
- Manage incoming and outgoing shipments, office supplies, and general logistics.
- Support invoicing, expense coding, accruals, and related financial administration in systems such as Concur and PAWA.
- Oversee general office administration for the Atlantic team, including coordinating IT and building-related issues.
- Assist with process improvements and system automation for purchase orders and data entry as required.
- Track and update portfolio price lists, product information, and board websites.
- Assist with liquor board programming, product applications, and submissions as requested.
- Coordinate supplier inquiries related to accounts receivable/payable.
- Support preparation of presentations and reports for boards, supplier budget reviews, and internal reporting processes.
- Design, print, and distribute marketing materials and POSM across the region.
- Support the planning and execution of trade shows, tastings, wine festivals, and other events, including travel and logistics for suppliers.
- Assist in creating supplier itineraries and coordinating event schedules across Atlantic Canada.
- Provide occasional evening or weekend support for events and shows as required.
- Generate recurring sales, inventory, and performance reports to support the sales team.
- Assist in preparing presentations for internal or external stakeholders, including QBRS and EOIS.
- Maintain organized documentation of marketing, sales, and administrative processes.
- Act as a point of coordination for sales representatives regarding marketing requests, event planning, and material distribution.
Requirements
- 1-3 years of coordinator, sales support, or marketing administration experience.
- Beverage alcohol or CPG industry experience is an asset.
- Familiarity with Atlantic liquor boards (NSLC, NB Liquor, PEILCC, NLC) is an asset.
- Strong proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Experience with Adobe Creative Suite including InDesign, Illustrator, and Photoshop preferred.
- Strong written and verbal communication skills.
- High attention to detail and strong organizational skills.
- Ability to manage multiple deadlines and prioritize effectively.
- Valid driver’s license and access to a vehicle.
- Ability to lift and move product samples and POS materials as required.
- Responsible beverage certification for Nova Scotia or ability to obtain.
- Valid passport for occasional business travel is an asset.
