About the role
- Responsible for managing the operations team and handling operational and administrative support tasks, including but not limited to:
- Supervise a team of Operations Coordinators, fostering a collaborative and high-performing environment.
- Provide high-level administrative and operational support to the AFHSD Division Chief and Contracting Officer Representative (COR), ensuring effective execution of mission objectives.
- Manage the task workflow, including assigning requests to team members, gathering and summarizing responses, and delivering detailed, consolidated reports to leadership to support informed decisions.
- Establishing and enforcing official administrative processes by creating standard operating procedures to improve the productivity and effectiveness of daily operations.
- Assisting with ad hoc staff meetings, including scheduling, confirming presenters, preparing agendas, setting up the meeting room/teleconference/web collaboration, and preparing advanced documents and meeting information for leadership, as well as taking meeting minutes.
- Tracking and submitting presentations, abstracts, and ad hoc reports, including routing through AFHSD and DHA approval processes.
- Preparing memorandums, letters, documents, and spreadsheets as requested using appropriate formats.
- Scheduling visits, notifying organizations and officials to be visited, and coordinating visitor requests.
- Coordinating and assisting with AFHSD events, such as large conferences and foreign delegations.
- Work alongside the Headquarters support, such as calendar management, team coordination, travel coordination, training coordination, IT requests and initiatives, operations reporting, and meeting security requirements.
- Other duties as required.
Requirements
- Bachelor’s degree preferred; 7–10 years’ experience in administration, operations, or consulting preferred.
- Proficient in Microsoft Office Suite.
- Familiarity with Project management principals, DoD Public Health mission, Defense Travel System/ETMS2 highly desired.
- Capable of maintaining strong client relationships
- Ability to lead teams and empower staff
- Collaborator, respectful of others, with a high level of professional integrity
- Ability to manage multiple priorities and work in a demanding environment
- Strong sense of urgency, adaptability, and the ability to multitask
- Excellent analytical, writing, and verbal communication skills
- Time management expertise
- Microsoft Office Suite advanced proficiency
- Prior Federal Government experience required.
- Must be a US Citizen.
- Must have or be able to obtain a Public Trust.
- Must pass pre-employment qualifications of Cherokee Federal.
