About the role
- Manage, maintain, and administer the on-premise Document Management System (preferably DocuWare).
- Perform system configuration, upgrades, patching, and performance monitoring.
- Maintain user accounts, permissions, roles, and security policies across the DMS.
- Monitor system health and proactively resolve performance or capacity issues.
- Design, configure, and optimize automated workflows, document indexing, and routing rules.
- Ability to gather requirements, design effective solutions, troubleshoot across multiple system layers.
- Implement automated retention policies and document lifecycle rules.
- Manage integrations between the DMS and other enterprise systems (ERP, CRM, HRIS, email, etc.) as needed.
- Provide Level 2/3 technical support for DMS issues, troubleshooting, and root-cause analysis.
- Coordinate with vendors or internal dev teams for customizations or advanced issues.
- Leverage basic SQL to perform data selects and joins, configure and schedule stored procedures, manipulate data fields, manage database tables and views, and perform database indexing to maintain performance.
- Ensure compliance with document retention policies, audit requirements, and regulatory standards (HIPAA, SOC, GDPR, etc., as applicable).
- Maintain system backup schedules and disaster recovery readiness for the DMS.
- Implement and monitor security controls, including access rights and document-level protections.
- Create and maintain system documentation, SOPs, workflow charts, and configuration records.
- Train employees in DMS usage, best practices, and new features.
- Support change management and adoption of DMS enhancements.
Requirements
- College Degree or equivalent
- 3 years related experience
- Ability to lead and coordinate the team activities of others
- Proficient use of applicable technology
- Ability to execute and draft technical instructions and guidelines
- Ability to document daily activities and system functions
- Able to work in a team environment
- Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
- Ability to travel as required by business and on-call availability
