About the role
- Work with Supervisors to quote work, communicating directly with the client to assess work requirements and prepare bid documentation.
- Support marketing and sales processes.
- Support production accounting processes e.g. advising internal accounts of invoicing details and payment schedule, tracking bid approvals and invoicing
- Work with Supervisors, Coordinator and Artists to track and manage workflow through the studio, meeting internal and external deadlines.
- Create and maintain project and resource schedules.
- Track and distribute incoming project elements and deliveries.
- Coordinate and complete submission of all deliverables.
- Organise dailies, rounds and meetings, taking notes and following up on information as necessary.
- Take detailed, comprehensive notes during dailies/rounds and distribute to relevant crew via the production database.
- Maintain an accurate summary of progress by artists in the production database, indicating accurate task status.
- Ensure the production database is kept updated daily with notes and critical information before departing for the day.
- Communicating information quickly and succinctly to crew and other departments in person as well as via e-mail and MS Teams.
- Communicating client sessions and dailies/meeting changes.
- Keep communication flowing from Supervisor to Artists and other relevant parties.
- Anticipate and communicate issues to Supervisors and stakeholders to resolve problems quickly.
- Attend set with VFX Supervisor as needs require, coordinating call sheet information with the Production Office and on-set VFX team, recording and communicating relevant notes, wrangling VFX requirements with relevant departments as required.
- Manage resources and communicate coherently with other stakeholders.
- Help to maintain a positive, upbeat and professional team environment, being proactive and solution-orientated.
- Other ad hoc duties as may reasonably be expected.
Requirements

- You have a Bachelor's Degree in Film, Art or Communications or you have gained that experience by working in our industry.
- You have excellent written and verbal communication skills
- You are highly organised
- You have proven ability to prioritise conflicting tasks
- You are able to remain calm and confident in a fast-paced environment
- You are able to work within a team towards a common goal
- You have an understanding of live-action and visual effects workflows
- You have an understanding of common file formats and resolutions
