About the role

  • Lead sponsorship strategy and execution through cross-functional alignment and strong collaboration with external congress societies to ensure seamless execution and results
  • Coordinate the tactical execution of congress activities, including booth design, content approvals, shipping, housing, registrations, and on-site logistics
  • Develop and present comprehensive pre-conference decks and post-congress reports that clearly synthesize key details, insights, and performance metrics
  • Manage relationships with vendors and agencies to ensure timely delivery of congress-related materials, logistics and event needs
  • Serve as primary point of contact for the Sales team and other internal partners for regional conferences and marketing deliverables
  • Organize and manage the implementation of speaking engagements and speaker bureau programs, and related training, ensuring compliance with company policies, standard procedures and business rules
  • Oversee the upkeep and delivery of Speaker Bureau materials, including any supportive promotional resources
  • Implement end-to-end project workflows to ensure all deliverables are completed on time and aligned with objectives
  • Track and reconcile budgets and support financial reporting
  • Maintain files, documentation and support complex administrative needs

Requirements

  • Bachelor’s degree preferred
  • CMP certification preferred
  • 3+ years of pharmaceutical, biotech, or agency experience in congress planning, event management, peer-to-peer programs, and/or HCP engagement
  • Strong organizational and exceptional project management skills with the ability to manage multiple workstreams with competing priorities
  • Demonstrates a highly proactive work ethic and meticulous attention to detail
  • Working knowledge of compliance and industry standards for HCP engagement (e.g., Open Payments Program/Sunshine, PhRMA, FDA, etc.)
  • Experience with LMR/PRC submissions and process
  • Clear, effective communicator with strong collaboration and interpersonal skills
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams) and Veeva
  • Ability to travel up to 20% domestically, including nights and weekends.
