  • - Provide confidential, high-level support to the CFO and Finance Executives.
  • - Manage and protect executive calendars, with special attention beyond traditional responsibilities.
  • - Schedule meetings, arrange travel, and coordinate conference calls.
  • - Handle correspondence, visitors, phone calls, and general inquiries with professionalism.
  • - Use judgment and initiative to resolve routine and unexpected situations.
  • - Maintain close relationships with internal and external stakeholders.
  • - Make autonomous decisions to ensure successful outcomes.
  • - Act as a trusted point of contact for internal and external stakeholders.
  • - Prepare agendas, presentations, and reports; create charts and tables as needed.
  • - Screen calls, emails, and mail with discretion; ensure timely follow-up.
  • - Maintain records, confidential files, and office supplies.
  • - Process expense reports and payments.
  • - Support and, when appropriate, lead cross-functional projects related to people and business operations.
  • - Provide backup support to other Executive Assistants when required.

Requirements

  • - Bachelor’s Degree.
  • - Proactive mindset; acts without needing constant direction.
  • - Independent thinker with strong decision-making ability (leadership experience not required).
  • - Detail-oriented, especially in managing protected calendars.
  • - Able to support multiple stakeholders and lead one direct report.
  • - Flexible to take on both strategic and operational projects beyond administrative tasks.
  • - Intermediate proficiency in MS Office Suite.
  • - Fluent in English (fluency will be tested).
  • - Availability to work on a schedule aligned with PST (Pacific Standard Time).
