About the role
- Serve as the primary point of contact and administrative partner to the Chief Sales Officer, managing day-to-day priorities and ensuring the CSO is prepared, informed, and organized at all times
- Manage complex calendaring, travel coordination, and scheduling across internal and external stakeholders
- Anticipate the needs of the CSO and proactively address competing priorities with a solutions-oriented mindset
- Draft, edit, and manage internal and external communications on behalf of the CSO, maintaining professionalism and confidentiality at all times
- Act as a coordination hub between the CSO, senior sales leadership, internal departments, and external partners
- Ensure timely responses to inquiries and follow-ups from across the organization
- Prepare agendas, presentation decks, and supporting materials for leadership meetings, business reviews, and executive sessions
- Capture meeting notes, track action items, and ensure follow-through across the sales leadership team
- Support planning and logistics for sales team meetings, offsites, and strategy sessions
- Compile and maintain sales reports, dashboards, and performance presentations for use in leadership and executive meetings
- Assist the CSO in preparing materials for business reviews, board updates, and strategic planning sessions
- Maintain accurate records and documentation within CRM and internal systems, ensuring data integrity and accessibility
- Assist with managing inbound requests to the CSO's office and coordinate follow-ups with the appropriate sales team members
- Support preparation of proposals, sales presentations, and client-facing documentation as needed
- Help track key sales initiatives, deadlines, and deliverables across the broader sales organization
- Manage special projects and cross-functional initiatives on behalf of the CSO
- Track project timelines, coordinate deliverables, and ensure alignment across sales, marketing, finance, and operations teams
- Conduct research and compile information to support business planning and strategic initiatives
Requirements
- 3–5+ years of experience in an executive assistant, administrative support, or sales operations role
- Exceptional organizational and time management skills; able to manage competing priorities and a high volume of responsibilities with precision and calm
- Outstanding written and verbal communication skills
- High attention to detail and a process-driven mindset; committed to accuracy and follow-through
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams) and experience with CRM systems and sales reporting tools
- Comfortable working with sales data, reporting dashboards, and executive presentations
- Discreet and trustworthy when handling sensitive and confidential information
- Background in sales, hospitality, entertainment, or events a plus.
