About the role
- Develop and implement operational policies and procedures to support efficient workflows across all offices.
- Ensure compliance with regional labor, legal, and governmental regulations (KSA, Jordan, UAE, Egypt, and US).
- Manage employee visa and immigration processes, including new issuance, renewals, and cancellations, in coordination with PROs and relevant authorities.
- Oversee company licenses, commercial registrations, and renewals to ensure business continuity and compliance.
- Manage medical insurance programs, liaise with providers for renewals and claims, and monitor contract terms and coverage.
- Maintain accurate documentation and ensure readiness for internal or external audits.
- Supervise office managers and ensure consistent operational standards across all regional offices.
- Manage facilities, office leases, utilities, maintenance, and vendor relationships.
- Oversee travel, accommodation, and transportation arrangements for employees and visitors.
- Ensure offices are safe, functional, and aligned with company standards for efficiency and employee well-being.
- Monitor budgets and support cost optimization initiatives for administrative and facility operations.
- Partner with Finance, IT, and other departments to ensure seamless alignment and operational support.
- Coordinate activities between regional offices and teams operating in different time zones.
- Support company-wide audits, compliance checks, and operational reporting.
- Recommend improvements and automation opportunities for operations and facilities processes.
Requirements
- Bachelor’s degree in Business Administration, Operations Management, or related field.
- 5–8 years of experience in operations, office management, or facilities administration.
- Strong knowledge of labor and compliance frameworks in KSA, Jordan, and UAE.
- Hands-on experience with visa, immigration, and governmental processes.
- Experience managing medical insurance and vendor contracts.
- Excellent organizational, communication, and coordination skills.
- Flexible to work across multiple time zones and working week structures.
- Proficient in MS Office and business systems (ERP, Zoho, Odoo, or similar).
