About the role

  • Assist with planning and coordinating project meetings, including preparing agendas, distributing invitations, and capturing meeting minutes and action items
  • Maintain and organize project documentation, records, and artifacts in accordance with PMO standards
  • Support day-to-day administrative activities for assigned IT projects
  • Assist in maintaining project schedules, timelines, and deliverables under the direction of the Project Manager
  • Track project performance metrics, milestones, and progress indicators
  • Compile project data and help prepare status updates, dashboards, and progress reports
  • Serve as a point of contact for routine project communications between internal teams and external resources (e.g., vendors), as directed by the Project Manager
  • Communicate project plans, actions, risks, and issues to team members in accordance with PMO guidance
  • Assist in escalating risks, issues, and dependencies to the Project Manager in line with the project work plan
  • Support the Project Manager in monitoring task assignments and resource utilization
  • Help ensure project team members are aware of timelines, expectations, and deliverables
  • Assist in managing coordination between multiple teams working on the same project
  • Identify and flag coordination challenges or process gaps and suggest improvements
  • Gain experience with PMO tools, templates, and governance processes
  • Participate in project reviews and lessons learned sessions as appropriate

Requirements

  • Currently enrolled in a post-secondary program (e.g., Business, Information Technology, Computer Science, Engineering, or related field)
  • Strong organizational and time management skills
  • Clear written and verbal communication skills
  • Ability to work independently while following defined processes and guidance
  • Proficiency with Microsoft Office tools (Excel, Word, PowerPoint, Outlook)
  • English proficiency is required for this position to effectively communicate with internal and external stakeholders.
  • Bilingualism (French and English) may be required depending on the specific role, location, and the needs of the organization.
