Customer Service/Retail Associate, DME

Account Manager

• Maintain and grow existing accounts through proactive communication and relationship management
• Travel to assigned Stock & Bill locations weekly to manage on-site inventory and program needs
• Oversee inventory levels to ensure product quality and availability
• Conduct regular cycle counts and maintain accurate inventory records
• Collect, review, and validate prescriptions and medical necessity documentation
• Work with account contacts to update and correct documentation and patient demographics as needed
• Monitor order status and documentation accuracy in partnership with internal coordinators

• Set up patients with PAP therapy and provide instruction on usage of the equipment

• Provide top-notch respiratory care in both home and retail settings
• Conduct follow-up visits and check-ins with our oxygen therapy patients
• Be the go-to for all things respiratory—whether it’s troubleshooting equipment or offering guidance

Respiratory Therapist

Call Center Representative

• Take incoming calls from patients, caregivers, and providers, offering friendly, knowledgeable support
• Accurately enter new patient information, including diagnoses, physician details, insurance, and product needs
• Process physician orders, verify insurance, and ensure orders are complete and ready to go
• Keep patients and providers in the loop with timely updates and follow-up calls to ensure satisfaction
• Manage a multi-line switchboard, routing calls efficiently to keep operations running smoothly
• Resolve concerns, answer questions, and make sure patients feel cared for every step of the way
• Work with internal teams to keep communication flowing and patient care seamless

Procurement

• Accurately match packing slips to invoices and verify pricing and product details.
• Resolve invoice discrepancies by communicating with vendors and our receiving department.
• Track down missing credits and proofs of delivery (PODs) – and follow through until resolved.
• Review freight charges and flag any inconsistencies.
• Mark invoices for payment and forward them to Accounts Payable for processing.
• Assist the Accounting Manager with research and follow-up on AP-related questions.
• Maintain up-to-date vendor information in our system.
• Confirm invoice approvals, especially for non-inventory items like services or construction.
• Upload SKUs and HCPC codes into Condor and maintain accurate records.
• Share product information and pricing with internal departments as needed.
• Follow up on outstanding requisitions and keep requesters informed.
• Assist in tracking and reporting progress during physical inventory counts.

• Verify Medicare, Medicaid, and commercial insurance eligibility
• Submit and process clean claims (manual or electronic) on CMS1500 forms
• Enter accurate patient account data to ensure timely and correct billing
• Correct insurance or charging errors to support claim submission
• Follow up on outstanding receivables, resolve discrepancies, and file appeals or disputes
• Resubmit denied or underpaid claims in a timely and compliant manner
• Stay up to date with government and private payer regulations and coverage requirement
• Communicate directly with payers via phone, email, and portals to resolve claim issues
• Request and submit necessary documents including prior authorizations, letters of medical necessity, prescriptions, and letters of non-coverage
• Maintain compliance with HIPAA and protect sensitive patient information
