About the role
- Provide direct executive assistance to the President of Delivery and IS-Delivery EVPs, including complex calendar management, scheduling, and coordination across multiple time zones.
- Manage executive communications, including screening and prioritizing emails, calls, and meeting requests.
- Coordinate executive travel, including flights, hotels, ground transportation, and itineraries for frequent, nationwide travel.
- Prepare leaders for meetings by coordinating materials, agendas, logistics, and follow-up actions.
- Maintain a high degree of confidentiality, discretion, and professionalism at all times.
- Serve as the primary point of contact for IS-Delivery office operations in The Woodlands, partnering with ENFRA’s facilities and corporate services teams.
- Manage local office needs including access, space coordination, services, deliveries, supplies, and vendor coordination.
- Support hosting of leadership meetings, visiting executives, and internal events at the Woodlands office.
- Plan and coordinate nationwide leadership offsites, workshops, and team meetings, including venue selection and hotel bookings, conference room coordination, catering and on-site logistics, and travel coordination for attendees.
- Manage executive expense reporting, credit card reconciliations, and travel-related documentation.
- Act as a liaison between executives and internal stakeholders at all levels.
- Support ad-hoc research, data collection, and document preparation as requested.
Requirements
- Bachelor’s degree in Business Administration, Communications, Operations, or a related field preferred, or equivalent relevant experience
- 6+ years of experience providing executive support to senior leaders (VP, EVP, President, or C-suite level) within a complex, fast-paced organization
- Demonstrated experience supporting multiple senior executives simultaneously, with competing priorities and heavy travel requirements
- Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel, with the ability to produce polished, executive-ready materials
- Proven ability to manage complex calendars, travel logistics, and executive workflows with precision and foresight
- Exceptional organizational skills, attention to detail, and follow-through
- Strong written and verbal communication skills, with a professional executive presence
- High degree of judgment, discretion, and ability to handle sensitive and confidential information
- Ability to operate independently, anticipate needs, and adapt quickly to changing priorities
- Comfortable working in a dynamic, matrixed environment and performing responsibilities beyond traditional administrative scope when required
