About the role
- Establish and maintain governance protocols for PandaDoc and Salesforce usage
- Lead centralized document storage consolidation project
- Organize and maintain contract folders and filing systems
- Serve as system administrator for PandaDoc and other legal management tools
- Develop and implement systematic workflows for legal request intake and routing
- Own and manage the legal mailbox
- Act as primary point of contact for trademark and patent attorneys
- Maintain comprehensive IP tracking systems for trademark and patent renewals
- File and organize all IP-related documentation including patent applications and assignments
- Serve as point of contact for external parties in legal matters
- Maintain legal matter tracking files and case management documentation
- Assist with maintenance of country-specific terms of service
- Support implementation of standardized contract terms across customer base
- Act as liaison to external counsel and filter communications as appropriate
- Support ad-hoc legal projects and research as needed
Requirements
- 5 years of experience as a legal assistant, paralegal, or in a similar legal operations role
- Prior experience in a corporate legal department or law firm environment
- Paralegal certificate or legal studies coursework
- Demonstrated experience with contract lifecycle management and document organization systems
- Strong working knowledge of legal management software (e.g., PandaDoc), Salesforce, and Microsoft Office Suite
- Excellent written and verbal communication skills with ability to interface professionally with external counsel, opposing parties, and internal stakeholders
- Exceptional attention to detail with ability to manage multiple priorities, deadlines, and filing systems
- Self-starter with ability to develop and implement processes and workflows independently
- High degree of professionalism and ability to handle confidential information
- Proven ability to work cross-functionally and train others on new systems and processes
