Work closely with Data, Analytics & AI leadership to support various projects, contributing to research, analysis and coordination.
Manage project documentation, coordinate key meetings and events, engage with internal and external stakeholders to collate updates and capture issues.
Provide high-level administrative support, meeting coordination and ad-hoc tasks to enable the team to operate effectively and at pace.
Assist with project planning, tracking progress, managing project documentation, coordinating project meetings and events, and communicating with stakeholders.
Organise and facilitate leadership and priority project meetings and events, including scheduling meetings, recording minutes and decisions and tracking actions.
Undertake administrative tasks, including assisting in organising recruitment tasks and onboarding new team members, ordering resources e.g. equipment., track expenses and costs.
Prepare emails, presentations, reports, and documentation.
Schedule and coordinate internal and external meetings across time zones.
Handle sensitive information with discretion and maintaining confidentiality.
Assist with creation/maintenance of project documentation in line with Ampol's project management methodology, maintain project information in Ampol's project tool and project reporting.
Liaise with program/project managers, other team members and vendors to determine progress of deliverables and identify issues and escalate as necessary.
Support the financial administration of Project/Programs utilising ERP systems such as SAP to raise POs, Good Receipt, and extract reports.
Use solid organisational skills, including multitasking and time management to ensure team activities are done in a timely manner, and project deadlines are met.

Experience/exposure to Project Management terms like RAID, RACI and methodologies like Waterfall, Agile
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook & Teams) and Atlassian Suite (JIRA and Confluence)
Experience with project management software and collaboration tools.
Ability to work independently and as part of a team.
