About the role

  • Supporting 4-5 leaders across locations/ time-zones in scheduling meetings, submitting expenses, arranging travel.
  • Independently manage leader(s) calendar and meeting prioritization across time zones.
  • Schedule meetings and/or conferences by interacting with internal/external clients/partners to coordinate calendars.
  • Prepare expense reports, managing travel, accommodation, coordinating internal/external communication.
  • Support leaders with onboarding/offboarding of employees, raising service now tickets, maintaining organization chart, invoicing/vendor management.

Requirements

  • Proficiency w/ computer programs (MSWord, Excel, PowerPoint, Access) and administrative programs (Outlook, Ariba, Concur, SharePoint etc.)
  • Ability to multi-task, quickly change direction and independently prioritize work in order to support multiple people.
  • Ability to anticipate needs and use independent judgement given limited availability of leader.
  • Ability to exercise discretion due to accessing and handling sensitive information.
  • Proficient in Outlook, Excel, Salesforce, MS Teams, BOX.
  • Experience of working in multinational companies/ US based company.
