About the role

  • Oversee day-to-day office logistics, including managing office supplies, equipment, and facility maintenance.
  • Maintain general office files, including vendor contracts and service provider relationships.
  • Organize company events and team-building activities; plan and implement initiatives that promote a positive and vibrant work environment.
  • Act as the face of the office, ensuring a professional atmosphere for employees and guests.
  • Serve as the designated Safety Officer, ensuring all legal requirements are met and documented (including regular SiBe training updates).
  • Implement physical office changes as required by the ASA (Arbeitsschutzausschuss).
  • Create and deliver a custom ADH safety training module for all staff.
  • Conduct annual fire drills and provide safety briefings to new employees throughout the year.
  • Ensure all training records and documentation are kept up to date for legal audits.
  • Ensure certifications are renewed in accordance with regulations.

Requirements

  • Education: High school diploma (Abitur) plus a relevant university degree or vocational training.
  • Experience: At least 2 years of experience in office administration, executive assistance, or a related role.
  • Safety expertise: Prior experience as a Sicherheitsbeauftragte/r (Safety Officer) or a strong interest in becoming the occupational health and safety lead (we support your certification).
  • Mindset: Highly organized, proactive, and hands-on — you identify what needs attention (from a broken coffee machine to a blocked fire exit) and take action.
  • Diligence: Strong attention to detail, especially regarding documentation and evidence required by German safety laws.
  • Tech stack: Proficient in Microsoft Office (Word, PowerPoint, Excel).
  • Languages: Excellent written and verbal communication skills in English and German (German is essential for interacting with local authorities and meeting safety regulations).
