About the role
- Manage high-volume employee relations cases across multiple states and business units
- Triage incoming ER cases through centralized intake system and assess urgency, complexity, and appropriate assignment
- Conduct preliminary fact-finding and investigations for low to moderate complexity cases including policy violations, attendance issues, and interpersonal conflicts
- Document all case activities in enterprise HRIS system with meticulous attention to detail and compliance requirements
- Maintain case closure targets of 3 days for standard ER matters and 10 days for employee protection cases
- Escalate complex, high-risk, or sensitive matters to ER2 team members or ER leadership with appropriate case summary and risk assessment
- Apply employment laws consistently across multiple state jurisdictions, with particular focus on key states with significant employee populations
- Partner with Legal and Compliance teams to ensure adherence to state-specific employment regulations and company policies
- Provide guidance to managers and employees on policy interpretation, ensuring consistent application across diverse business units
- Support enterprise-wide policy rollouts and communicate policy changes to regional HR teams and stakeholders
- Maintain knowledge of FMLA, ADA, Title VII, FLSA, and state-specific laws in assigned regions
- Serve as dedicated ER support for assigned HR Business Partners covering all regions or business units
- Provide consultative support to regional HR teams on performance management and corrective actions
- Guide managers through progressive discipline process, termination procedures, and separation documentation
- Participate in cross-functional HR projects and initiatives to improve ER service delivery across the enterprise
- Build strong partnerships with field HR teams to ensure consistent ER practices and knowledge sharing
- Utilize enterprise HRIS and case management platforms to track, document, and report on ER activities
- Generate standard reports and dashboards on case volumes, resolution times, and trending issues for leadership review
- Leverage data analytics tools to identify patterns and contribute to process improvement initiatives
- Participate in system testing and optimization for ER module enhancements and new platform implementations
- Ensure data integrity and maintain accurate employee records in compliance with recordkeeping requirements
- Prepare unemployment claim responses for multiple state jurisdictions with varying requirements and deadlines
- Coordinate with third-party unemployment administrators and state agencies on claim processing and appeals
- Gather and organize documentation for unemployment hearings, working with regional leadership to secure witness participation
Requirements
- 1-3 years of HR experience with exposure to employee relations, ideally in large, multi-state organizations
- Healthcare, retail, logistics, or other high-volume service industry experience strongly preferred
- PHR or SHRM-CP certification preferred, or commitment to obtain within 18 months of hire
- Working knowledge of federal employment laws (FMLA, ADA, Title VII, FLSA) and ability to research state-specific requirements
- Experience with enterprise HRIS systems such as Workday, SAP SuccessFactors, Oracle HCM, or similar platforms
- Strong case management skills with ability to prioritize high-volume workload and meet tight deadlines
- Excellent written communication skills for clear, concise documentation and professional correspondence
- Strong verbal communication and interpersonal skills for working with diverse stakeholders across all organizational levels
- Ability to maintain strict confidentiality and handle sensitive information with discretion
- Proficiency in Microsoft Office Suite, particularly Excel for data tracking and PowerPoint for presentations
- Strong organizational skills and attention to detail in fast-paced environment
- Comfortable working in matrixed organization with dotted-line reporting relationships
