Director

• Lead award management processes from end-to-end, from: a) award procurement; to b) program implementation; to c) award closeout.
• Lead the award management functions, including oversight over the Budget and Resource Management’s staffing, policies, procedures, tools, templates, and platforms, across the functional areas of award compliance, award financial management (pricing, billing, financial reporting), sub-granting, sub-contracting, and procurement.
• Lead the Budget & Resource Management Team to effectively financially manage awards, including pre-award management, producing or reconciling relevant reports, monitoring, post-award management.
• Support organizational audit readiness by ensuring strong processes for saving and organizing required documentation.
• Work with a team to ensure a high level of communication and collaboration with other parts of the organization.
• Foster a team culture that supports individuals’ growth and development; coach and mentor leaders within the department.
• On an ongoing basis, evaluate, refine, and strengthen Acacia’s policies and procedures for award management, including due diligence, financial monitoring, close-outs, and the administration of subgrants and subcontracts throughout the life cycle of the award.
• Maintain a comprehensive understanding of the specific regulations related to federal contracting and awards, state-funded awards, and private foundations and donors, and ensure procedures and templates are consistent with those requirements.
• Standardize, document, and operationalize award management procedures across the organization.
• Ensure staff are trained and informed when updates are made.
• Work across internal teams to provide training and guidance to cross-departmental teams on best practices, compliance, and financial management and strategies and tools for awards and management of subcontracts and subgrantees.
• In coordination with programs, development, and policy teams, play a key role in the proposal development process, including analysis of funder requirements, development of cost proposals and related pricing strategies, and negotiation of funded awards.
• Support the CFO in developing and reviewing internal budgets at the departmental and organizational level.

Managing Director – Awards Management

Solutions Engineer

• Administer and support Microsoft 365, Entra ID, Azure, AWS, and related identity and cloud services.
• Maintain and improve access management, permissions, administrative roles, and service account governance.
• Support DNS, Cloudflare, SSO, SCIM, SAML, MFA, and related identity integrations.
• Ensure systems are documented, supportable, and not dependent on individual knowledge.
• Manage Windows and Mac endpoints through Intune, N-Central, Apple Business Manager, and related tools.
• Support endpoint security deployments, including Arctic Wolf, Aurora, Defender, DNS Filter, Sysmon, and similar tools.
• Maintain device inventory, compliance status, software deployment, patching, and endpoint readiness.
• Administer and support core SaaS platforms such as 1Password, Slack, Zoom, Box, ClickUp, Smartsheet, Data Shuttle, Adobe, Verizon, Growrk, Allwhere, and related systems.
• Provide direct support to staff for technical issues when needed.
• Design practical, secure, and maintainable solutions for internal business needs.
• Coordinate with vendors, MSPs, security partners, and implementation partners.
• Create and maintain runbooks, system diagrams, access inventories, SOPs, and support documentation.

Senior Systems Engineer, Solutions and Support

• Project leadership and management.
• As needed, support the early implementation of new programs by translating established program designs into concrete, time-bound practicable steps, and coordinating day-to-day launch activities.
• Engage in thought partnership with Director of PPSS and other leadership as appropriate to support implementation decision making, surface operation risks or gaps and inform refinements to program designs to promote sustainability, scalability, and responsiveness to legal needs of immigrants.
• During project incubation phase, design and oversee systems for day-to-day operations and scalable program management, ensuring alignment with organizational and strategic goals and the project’s scope, until permanent staffing is in place.
• Collaborate in the development of secure information-sharing systems and protocols in coordination with Legal, IT, and Compliance teams, ensuring alignment with organizational data security standards and best practices.
• Support for proposal development for government procurements.
• In close collaboration with Program Directors and other subject matter experts, lead and coordinate drafting of technical responses and narrative sections of proposals responsive to government solicitations, including renewal bids.
• Maintain familiarity with Acacia’s established procurement practices, proposal voice, and positioning across bids, and support high-quality, consistent proposal development efforts as procurement opportunities arise.
• Develop and maintain sufficient familiarity with Acacia’s programs and operations to contribute effectively with minimal ramp-up, and demonstrate comfort with frequent change, shifting priorities, and evolving day-to-day responsibilities.
• Provide short-term, flexible staffing support across programs and initiatives by stepping in as needed to address capacity gaps, transitions, launches, or periods of increased demand.
