About the role
- Ensure smooth daily operations of the office
- Provide key administrative and compliance support to clinical teams, Direct Support Professionals (DSPs), and clients
- Assist Qualified Professionals (QPs) with SAR submissions, progress summaries, MAR follow-ups, and record audits
- Monitor and maintain accurate DSP and client records in compliance with Medicaid and agency regulations
- Track missing DSP notes and timesheets; communicate with DSPs to resolve issues
- Assist with DSP training schedules, certifications, and onboarding processes
- Submit and track DSP status changes and troubleshoot OnTarget and LMS system issues
- Provide local recruitment and onboarding support
- Maintain a professional and welcoming office environment
- Coordinate facility maintenance, vendor relationships, supplies, and equipment
- Manage inbound communications and assist visitors
- Organize staff, caregiver, and client events and create monthly calendars (Day Program, if applicable)
- Conduct emergency drills, inspections, and maintain required documentation (e.g., Hazard Communication Binder)
- Support CPR/First Aid trainings and internal quality follow-ups
- Attend staff huddles and provide feedback to the clinical team
Requirements
- High School Diploma or GED required
- At least 2 years of administrative, office management, or related experience
- Strong communication, organization, and interpersonal skills
- Proficiency in office software and comfort with database systems (e.g., OnTarget)
- Ability to multitask in a fast-paced, team-oriented environment
- Experience in behavioral health preferred but not required
- Must be 18+, have a valid drivers license, and pass background checks.
