About the role
- Ensure smooth daily operations of the office.
- Provide key administrative and compliance support to our clinical teams, Direct Support Professionals (DSPs), and clients.
- Assist Qualified Professionals (QPs) with SAR submissions, progress summaries, MAR follow-ups, and record audits.
- Monitor and maintain accurate DSP and client records in compliance with Medicaid and agency regulations.
- Track missing DSP notes and timesheets; communicate with DSPs to resolve issues.
- Assist with DSP training schedules, certifications, and onboarding processes.
- Submit and track DSP status changes and troubleshoot OnTarget and LMS system issues.
- Provide local recruitment and onboarding support.
- Maintain a professional and welcoming office environment.
- Coordinate facility maintenance, vendor relationships, supplies, and equipment.
- Manage inbound communications and assist visitors.
- Organize staff, caregiver, and client events and create monthly calendars (Day Program, if applicable).
- Conduct emergency drills, inspections, and maintain required documentation.
- Support CPR/First Aid trainings and internal quality follow-ups.
- Attend staff huddles and provide feedback to the clinical team.
Requirements
- High School Diploma or GED required.
- At least 2 years of administrative, office management, or related experience.
- Strong communication, organization, and interpersonal skills.
- Proficiency in office software and comfort with database systems (e.g., OnTarget).
- Ability to multitask in a fast-paced, team-oriented environment.
- Experience in behavioral health preferred but not required.
- Must be 18+, have a valid drivers license, and pass background checks.
