About the role

  • Manage and coordinate schedules for clinicians and caregivers to ensure coverage and availability.
  • Schedule Admissions by reviewing clinician calendars and availability.
  • Ensure recertification visits and supervisor visits are scheduled within the appropriate timeframe.
  • Monitor and manage multiple scheduling platforms including internal scheduling tools and shared calendars.
  • Track clinician and caregiver availability using Google Calendar and other scheduling tools.
  • Manage schedule availability periods (typically 8-week scheduling cycles).
  • Process schedule updates including PTO requests, availability changes, and schedule modifications through Google Forms and approval workflows.
  • Ensure updates are accurately reflected across scheduling platforms.
  • Collaborate closely with RN Case Managers, Clinicians, and Family Care Associates to align schedules with clinical requirements.
  • Communicate scheduling updates and issues through Slack and shared Google Sheets.
  • Participate in biweekly coordination meetings with RN Case Managers.
  • Maintain accurate records of schedules, availability, and updates.
  • Ensure all scheduling activities align with required clinical timelines and operational standards.
  • Identify scheduling conflicts and proactively resolve them.

Requirements

  • 3+ years of experience managing complex medical/healthcare scheduling for a large population of clients or staff.
  • Experience coordinating schedules involving multiple stakeholders.
  • Strong organizational and time management skills.
  • Excellent communication and coordination abilities.
  • High attention to detail and ability to manage multiple schedules simultaneously.
  • Strong problem-solving skills, particularly in resolving scheduling conflicts.
  • Comfortable working with Google Suite (Google Calendar, Google Sheets, Google Forms).
  • Experience working with Electronic Medical Records (EMR) systems (Experience in Alora is a plus.)
  • Ability to manage multiple scheduling platforms simultaneously.
