About the role

  • Serve as first point of contact for internal Vantaca service tickets.
  • Respond to, resolve, triage, or escalate issues appropriately.
  • Set up and configure Vantaca user accounts, access levels, and portfolios.
  • Monitor action items and system performance for ongoing accuracy.
  • Coordinate directly with Vantaca Support on escalated or complex issues.
  • Follow up on outstanding items to ensure timely resolution.
  • Conduct data audits in Vantaca during Community Manager transitions.
  • Produce executive summaries for regional leaders to support retention planning.
  • Perform data validation and accuracy checks in Vantaca and SharePoint.
  • Assist with tracking and processing insurance policy action items.
  • Communicate with coworkers and clients to facilitate Vantaca software use.
  • Maintain organized documentation of ticket activity, audits, and reports.
  • Support the Customer Experience team with ongoing tasks and special projects.
  • Provide light training or internal guidance on Vantaca features as needed.

Requirements

  • Experience in administrative support, customer service, or workflow systems.
  • Strong organizational skills and exceptional attention to detail.
  • Experienced with workflow management platforms and Microsoft Office Suite.
  • Strong time management skills and the ability to multitask effectively.
  • Working knowledge of Vantaca preferred (not required but highly valuable).
  • Strong IT aptitude; able to learn and troubleshoot new systems quickly.
  • Excellent written and verbal communication skills.
  • Ability to coordinate with cross-functional teams and stakeholders.
