Billing Specialist

• Supports the Billing Operations team by reviewing, validating, and ensuring the accuracy of customer invoices across multiple billing cycles and business segments.
• Focuses on post-generation quality assurance, identifying discrepancies, and collaborating with analysts, IT, and finance teams to ensure all invoices are correct before release.
• Contributes directly to billing accuracy, timeliness, and compliance with company policies and customer contracts.
• Reviews invoices after system generation to confirm pricing, formatting, and charge accuracy before distribution to customers.
• Conducts quality assurance checks across all billing cycles to ensure completeness and consistency.
• Compares invoice data to source systems, billing inputs, or customer contracts to validate correctness.
• Identifies and documents billing variances or recurring issues and escalates to the Billing Operations Supervisor or Analyst for resolution.
• Partners with cross-functional teams to resolve discrepancies impacting invoice accuracy or timing.
• Maintains records and logs of quality reviews, corrections, and cycle validations for audit and compliance purposes.
• Supports end-to-end testing and validation during system updates, migrations, or new product introductions.
• Participates in process improvement efforts to enhance billing efficiency and data integrity.

• Lead all Medicaid billing processes (network and out-of-network) across our multi-state operations.
• Manage and optimize performance of our third-party billing vendor handling out-of-network claims.
• Track and improve key revenue cycle metrics including days in A/R, denial rates, collection ratios, and first-pass claim acceptance.
• Collaborate with clinical, medical, and administrative teams to ensure accurate documentation, timely charge entry, and proper coding.
• Leverage our EMR and RCM platforms (experience with Kipu and/or Collaborate MD strongly preferred).
• Manage claim submissions, follow-up, appeals, payer relations, and reimbursement optimization with a primary focus on Medicaid.
• Develop billing workflows, policies, and internal controls to support scalability as the organization grows.
• Provide leadership, training, and mentorship to internal billing staff while maintaining strong coordination with external partners.
• Monitor regulatory changes, payer policies, and industry updates affecting behavioral health billing.
• Deliver regular performance reports and revenue forecasts to senior leadership.

Enrollment and Billing Representative

• Ensure strict HIPAA-compliant confidentiality with all client data and claims
• Manage and operate in multiple different billing platforms dependent on client needs which could include Azalea, Tebra, Central Reach and/or Rethink Integrated Billing Module
• Manage assigned client accounts billing scrubs for primary and secondary claims
• Submit claims electronically for primary and secondary payors
• Solve clearinghouse rejections
• Submit corrected claims for billing errors, rebill projects (new plans/new year, new information on payor policies)
• Maintain account spreadsheets, billing cheat sheets, provider, and billing information including provider roster and payer policy billing rules
• Contribute to updates and communicate to Customer Billing Advocate and other members of POD
• Provide internal reporting to team of status and issues for clients within POD
• Meet internal benchmarks for clean claims / first pass rate, unbilled claims, clearinghouse rejections, secondary claims, and denials for billing errors

• Review workflows and identify opportunities to reduce manual work and processing delays
• Transition insurance and patient payments from paper checks to electronic bank payments whenever possible
• Oversee the setup of electronic payment arrangements with payers that still send payments by mail
• Provide additional support to patients who have questions or concerns about their bills, refunds, or insurance payments
• Handle escalated patient concerns with professionalism, empathy, and clear explanations

Post-Treatment Billing Manager

• Compile, manage, and execute attorney billing
• Create, review, and edit proformas in response to requests
• Execute complex bills in a timely manner
• Compile supporting back-up documentation as required
• Submit invoices by mail, email, and e-billing
• Configure and maintain information on e-billing sites
• Address and resolve e-billing disputes, rejections, and short pays
• Ensure compliance with existing billing policies and procedures
