Accounts Receivable

• Accurately record and reconcile all incoming payments with daily reports.
• Deposit checks using a remote scanner and code them to appropriate GL accounts.
• Enter recurring journal entries and assist with monthly bank reconciliations.
• Support month-end closing processes and maintain up-to-date financial records.
• Assist with other duties as assigned.

AR Clerk

• Ensure strict HIPAA-compliant confidentiality with all client-related data
• Review customer account reports and follow up to ensure any flags/concerns are notated proactively and communicated to the Customer Billing Advocate (CBA)
• Review A/R Aging Reports and follow up with insurance companies regarding expected reimbursement for outstanding claims
• Notate & document all follow up work on aging claims within A/R Aging Reports as required and documented in standard SOPs
• Meet expectations on deadlines for completion of A/R Aging Reports for each customer supported within POD
• Follow up on denials immediately and communicate any trends to CBA
• Follow up on any open A/R tickets in Salesforce as assigned by CBA
• Meet deadlines assigned for A/R work as assigned by CBA
• Utilize denial management platforms for submission of appeals, reconsideration requests, etc.
• Research specific payor billing rules as needed
• Follow up on claims submitted electronically for primary and secondary payors
• Submit corrected claims when needed
• Attend POD meetings and contribute to agenda items as designated by CBA
• Post payments or submit missing payments to posting team and maintain A/R as assigned
• File appeals to insurance and to insurance commissioner as needed
• Stay informed about Payor and Industry Billing rules
• Review & interpret payor contracts when applicable
• Measure and monitor key metrics related to work performance
• Attend customer meetings as needed with CBA
• Work to meet POD goals collectively as cohesive team
• Foster a positive work environment for colleagues

AR Specialist

• Monitor portfolio of accounts daily and identify outstanding account receivables
• Investigate historical data for debts and bills and take actions to encourage timely payments
• Process payments, credits, and refunds
• Research and respond to customer inquiries regarding billing-related issues
• Reconcile accounts for billing and cash application and resolve customer credit issues
• Contact customers (via phone and email) with overdue balances and collect payment
• Negotiate payment plans within approved guidelines
• Update account status records and keep up-to-date accurate notes on customer records
• Prepare and present reports on collection activities and progress
• Contact customers with declined credit cards and respond to ACH chargebacks within allotted time from the bank
• Answer incoming phone calls and respond to voicemails in a timely manner
• Respond to internal requests and manage email inboxes daily (personal and group email inboxes)
• Help customers navigate through the cancellation process to settle their contract balance
• Review accounts that have filed for bankruptcy
• Work with a 3rd party collections agency and submit delinquent accounts
• Escalate issues which need additional review

Accounts Receivable Specialist

• Manage the accounts receivable process including invoicing, collections, and reconciliations
• Issue detailed customer invoices and ensure timely and accurate billing.
• Monitor customer accounts to ensure timely payments and follow up on overdue balances.
• Perform advanced cash application and reconcile accounts receivable balances.
• Investigate and resolve complex billing discrepancies and disputes.
• Maintain Billing Matrix and provide guidance on billing and revenue setup based on contract requirements.
• Communicate with customers to maintain positive relationships and address payment issues.
• Collaborate with internal teams to ensure invoices reflect contractual terms and conditions.
• Prepare and analyze accounts receivable aging reports to identify trends and areas for improvement.

Accounts Receivable Analyst II

• Lead the Accounts Receivable (AR) function to optimize processes, and ensure accurate, timely billing and collections.
• Drive AR strategy, controls, and continuous improvement by establishing performance standards, implementing scalable processes and systems enhancements, and partnering cross-functionally to improve customer experience and enterprise outcomes.
• Provide strategic and operational leadership for the AR function, aligning AR priorities.
• Develop and execute AR operating plans, including departmental goals, KPIs, staffing models, and continuous improvement roadmaps.
• Oversee end-to-end AR processes including invoicing, cash application, customer account management, dispute resolution, and collections.
• Ensure receivables are updated accurately by directing billing cycles, and bank remittance/cash application activities.
• Set collection strategies and escalation paths; manage resolution of significant, complex billing, contract, service, or pricing disputes.
• Direct customer outreach strategies to reduce past due balances, negotiate payment arrangements, and resolve conflicts while protecting customer relationships.
• Maintain strong internal and external relationships to support timely resolution of issues impacting cash collection.
• Ensure strong internal controls and compliance with accounting policies; maintain financial security and confidentiality of records.
• Oversee monthly close activities related to AR, including reconciliations, ledger accuracy, and reporting integrity.
• Design, implement, and standardize business processes to increase efficiency, enhance productivity, and improve the customer experience.
• Collaborate with cross-functional teams identify root causes of errors and implement sustainable solutions.
• Identify system improvement opportunities (ERP/billing tools/automation) and support implementation, testing, training, and adoption.
• Produce and present AR performance reporting (e.g., aging, DSO, collections effectiveness, dispute trends, unapplied cash) for leadership review.
• Implement quality management and measurement programs to drive consistent execution and outcomes across the team.
• Lead, coach, and develop a high-performing, service-oriented AR team.
• Manage personnel-related matters including hiring support, performance management, goal setting, development planning, and administrative documentation.
• Build and sustain a positive, open work environment focused on disciplined execution, accountability, and continuous improvement.
• Lead AR readiness for internal and external audits; ensure documentation, controls evidence, and issue remediation are completed timely.
• Ensure team adherence to company policies, safety standards, and required work rules.
• Work non-traditional hours as needed to support close, escalations, or time-sensitive initiatives.
