Accounts Payable Specialist

• Promote company core values and foster positive relationships with vendors
• Process vendor invoices accurately and timely
• Manage vendor setup and maintenance (W-9s, ACH details, compliance checks)
• Initiate timely payment of invoices using a variety of payment methods (credit card, check, ACH, wire, call-in)
• Manage Vendor Portals (invoice Retrieval and making payments)
• Reconcile vendor accounts regularly
• Resolve invoice discrepancies and vendor inquiries promptly
• Organize and automate AP processes to drive efficiencies, minimize errors and delinquencies

• Lead a team of specialists, overseeing daily invoice processing, vendor payments, and reconciliations to ensure accuracy, compliance, and efficiency across 4 ERP systems.
• Oversee the accounts receivable invoicing process, including accurate and timely upload of customer invoices into designated portals, ensuring compliance with customer requirements and internal controls.
• Train and mentor AP staff, assigning daily tasks and ensuring high-volume invoice processing.
• Maintain vendor master data and ensure compliance with regulatory requirements, including accurate setup, ongoing maintenance, and execution of annual 1099 reporting and filings.
• Partner cross-functionally with Procurement, Receiving, Treasury, and Finance to resolve complex discrepancies and drive process alignment.
• Resolve payment inquiries and maintain positive vendor relationships.
• Maintain files, forms, and computer-based records in compliance with company policies and procedures, including supporting and maintaining SOX audit requirements.
• Perform defined balancing and reconciliation procedures to ensure transactions have been properly recorded and lead efforts to resolve complex reconciliation variances.
• Prepare accurate and timely transaction processing reports for internal management needs and external reporting requirements.
• Support the financial close process including but limited to journal entries, account reconciliations and other close-related deliverables as assigned.
• Analyze AP aging, accruals, and key performance indicators to identify trends, risks, and improvement opportunities.
• Apply continuous improvement management principles and participate in process analysis and improvement projects.

Accounts Payable Supervisor

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

Accounts Payable Manager

• The Accounts Payable Specialist performs a variety of disbursement activities to prepare and send payments to policyholders, vendors, and internal requestors.
• This position prepares and processes general ledger journal entries via multiple database interfaces.
• Perform daily interface of accounting and policy check data with required system following a sequence of steps to ensure all data transfers correctly.
• Identifies problems and takes appropriate action to resolve them timely.
• Prepare, record, and process manual disbursement requests for payment for assigned company ensuring data completeness and accuracy.
• Process cancel and stop payment check requests timely and accurately.
• Prepare, record, and process invoices and payment requests to generate checks/EFT’s for assigned company ensuring data completeness and accuracy.
• Provide excellent customer service and support for internal and external stakeholders.
• Review and route ACH and wire transfer requests as required.
• Interface the daily AP activity to the general ledger.
• Complete other assignments and special projects on an as needed basis.
• Assist in developing and updating procedures.
• Complete the outstanding check workflow.
• Responds to requests from internal and external customers for payment information.

• Lead end to end Accounts Payable operations including invoice processing, approvals, payments, accruals, and prepaids by monitoring invoice volumes, reviewing applicable reports and dashboards
• Supervise and develop a team of seventeen by assigning tasks, monitoring performance and providing coaching and feedback
• Assist staff with questions and issues, providing guidance on appropriate methods to research and resolve problems
• Own the annual 1099 reporting process
• Ensure all supplier inquiries are responded to in a timely, professional, and courteous manner by the team
• Drive process improvements and automation initiatives to scale AP workflows, reduce manual effort and strengthen internal controls
• Work closely with cross functional teams in support of the procure to pay process
• Operate with a high degree of independence

• Partner with business stakeholders and SAP functional teams to analyze requirements and design, develop, and test robust SAP solutions supporting core GTS processes.
• Gather and prioritize business requirements, translate them into functional specifications, and identify opportunities for process improvements and automation.
• Lead and support GTS related projects and deliverables, ensuring alignment with business objectives.
• Perform hands-on configuration, testing, and maintenance in GTS.
• Drive fit-gap analysis, solution design, and preparation of functional specifications.
• Collaborate with cross-functional workstreams to design seamless end-to-end processes and integrations.
• Lead or contribute to testing activities, including unit testing, integration testing, UAT coordination, defect resolution, and cutover planning.
• Create and maintain essential project documentation, including business requirements, functional/technical specifications, and test scripts.
• Influence GTS process strategy by recommending best practices and innovative solutions that align with enterprise goals.
• Drive continuous improvement initiatives to optimize system performance and enhance user experience.
• Provide deep functional expertise and production support for GTS processes, including incident resolution and break-fix solutions.
• Mentor junior team members and contribute to knowledge-sharing across the organization.
