Accounts Payable

• Serve as the primary contact and SME for SAP VIM (Vendor Invoice Management) (OpenText) and vendor invoice integration efforts
• Lead design workshops; create/approve business process designs, configuration documents, cutover plans, SIT/UAT plans, and hypercare/support handover materials
• Implement and configure VIM modules: BCC/IES invoice processing, exception handling, COA approval workflows, 3-way match, central reporting, scanning, email channels, and IDoc/input channel setup
• Configure VIM settings and document types (PO / NPO) and facilitate end-to-end implementation and support
• Translate business requirements into robust functional and technical specifications and into configuration or code enhancements
• Develop, maintain, test, and improve related integration code and VIM solutions; adhere to coding standards and develop best practices
• Troubleshoot implementation and post-production issues across building, test, cutover, and production phases
• Collaborate closely with Ariba teams to set up invoice rules on Ariba Network, integrate supplier flows, and validate end-to-end processing
• Prepare and deliver demos, training content, workshops and knowledge transfer for business stakeholders and AP SPOCs
• Coordinate with SAP MM, SAP Ariba functional teams, technical leads, and customer purchasing/AP teams for testing and resolution of functional/technical issues
• Ensure solution compliance and change management coordination with AP/finance stakeholders

Experienced SAP Specialist

• Promote company core values and foster positive relationships with vendors
• Process vendor invoices accurately and timely
• Manage vendor setup and maintenance (W-9s, ACH details, compliance checks)
• Initiate timely payment of invoices using a variety of payment methods (credit card, check, ACH, wire, call-in)
• Manage Vendor Portals (invoice Retrieval and making payments)
• Reconcile vendor accounts regularly
• Resolve invoice discrepancies and vendor inquiries promptly
• Organize and automate AP processes to drive efficiencies, minimize errors and delinquencies
• Support other finance and accounting personnel as necessary
• Support audits by providing documentation and explanations
• Enforce AP policies and internal controls; identify process improvements
• Takes on additional responsibilities and projects as needed to support the success of the team and organization

Accounts Payable Specialist

• Review, code, and process invoices, expense reports, and pay applications in the ERP system
• Execute payments (ACH, wire, check) accurately and on time; create and transmit payment files to banks
• Reconcile accounts, investigate discrepancies, and resolve payment issues, including voids and adjustments
• Serve as a primary point of contact for vendor inquiries, maintaining professional and timely communication
• Set up and maintain vendor records in compliance with company policies and documentation requirements
• Manage high-volume workflows while ensuring accuracy and attention to detail
• Track costs, support reporting requests, and assist with job cost monitoring
• Support month-end and year-end close processes
• Collaborate cross-functionally to ensure efficient and timely accounts payable operations

• Responsible for all aspects of the accounts payable function

Accounts Payable Analyst

• Review all invoices and accounts payable disbursement requests for proper documentation and compliance with internal policies.
• Validate coding, approvals, and supporting documents; perform 2- or 3-way match as applicable.
• Enter, process, and schedule payments (ACH, checks, wires) in accordance with terms.
• Resolve invoice discrepancies and vendor inquiries; maintain vendor records and W-9s.
• Reconcile A/P subledger to the general ledger; assist with month-end close and accruals.
• Prepare and organize documentation for audits and support process improvements.

Accounts Payable – Temporary

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

Accounts Payable Manager

• Process vendor invoices through the AP queue, including review of Direct PO and Contested Hold reports for assigned vendors
• Research and resolve discrepancies on PO‑related invoices (e.g., pricing, quantities, or receipt issues)
• Ensure non‑PO invoices are properly approved and paid in a timely manner
• Manually bill sales orders that do not auto‑bill during the import or posting process
• Review vendor account statements, research past‑due invoices, and reconcile open purchase orders where inventory has been received
• Collaborate with internal teams and external partners to resolve invoice and payment issues
• Respond to vendor inquiries and maintain professional communication via email and phone
• Perform new vendor setup and ongoing vendor maintenance, including ACH confirmations
• Obtain and validate required documentation for vendor setup in compliance with TAKKT guidelines
• Complete projects and additional tasks as assigned by the Accounts Payable Manager

• Performing data entry of Accounts Payable information to maintain accounting database(s)
• Sorting the daily accounts payable mail and forwarding to the appropriate person/department for approval
• Assigning the proper GL account code to invoices
• Inputting invoice data into the accounting system (CDK)
• Reviewing discrepancies in data received, requesting clarification or advising supervisor of issues related to data
• Performing data verification routines in accordance with company procedures
• Assisting with the check run preparation 3 times a month
• Assisting with reconciling the monthly vendor statements
• Communicating with employees and vendors regarding payments and transactions
• Request W9 and COI on new vendors
• Assist with the inventory receiving process, including transportation billing and PO accuracy and entry
