About the role

Key responsibilities & impact
  • Provide administrative and operational support to the Chief Policy Officer and senior leaders
  • Manage calendars, meetings, travel arrangements, correspondence, and project coordination
  • Prepare briefing materials, reports, agendas, presentations, meeting notes, and follow-up communications
  • Maintain electronic filing systems, records, calendars, supplies, and materials
  • Coordinate Policy Center leadership meetings, work group board meetings, and executive matters
  • Liaise with staff, external partners, vendors, consultants, and stakeholders
  • Process invoices, contracts, expense reports, reimbursements, purchase orders, and other financial documentation
  • Monitor budgets, expenditures, project finances, and financial reporting
  • Support grant administration and maintain accurate organizational records
  • Plan and execute virtual, hybrid, and in-person meetings and events, including logistics and on-site support
  • Develop reports, dashboards, presentations, briefing materials, project trackers, and performance metrics
  • Collect, organize, and analyze information for decision-making and strategic planning
  • Provide customer service and respond to stakeholder inquiries
  • Leverage AI tools and automation to improve scheduling, reporting, meeting preparation, document management, collaboration, and productivity
  • Recommend and implement technology solutions and perform other assigned duties

Requirements

What you’ll need
  • Six years of relevant experience
  • Experience supporting senior executives or organizational leadership
  • Experience processing financial documents, invoices, contracts, budgets, and expense reports
  • Strong event planning and logistical coordination experience, including on-site event support
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint
  • Experience with project management platforms such as Asana, Microsoft Project, or similar systems
  • Experience with financial management software and reporting tools
  • Knowledge of CRM systems such as Salesforce
  • Experience implementing workflow automation, AI-enabled productivity tools, or knowledge management systems such as Microsoft Copilot and Power Automate
  • Experience developing executive-level presentations, reports, and dashboards
  • Experience using AI tools and digital technologies to improve productivity and operational effectiveness
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Bachelor's degree in Business Administration, Public Administration, Communications, Operations Management, or a related field, or equivalent combination of education and experience
  • Must reside within the Washington, DC Metro area
