About the role
Key responsibilities & impact- Maintain current schedules of staff providing individual appointments
- Use FFSMIS to view schedules, make client appointments, and send appointment reminders
- Research ship/Sailor locations and locate correct Points of Contact
- Validate referral information and complete Sailor demographics in FFSMIS
- Receive command and non-command referrals and make introductory contact with referred Sailors
- Complete documentation and run reports in the FFSMIS SAIL record system
- Schedule SAIL initial assessments and non-medical counseling appointments
- Forward initial paperwork, follow up on signatures, and upload documents to client case records
- Manage daily scheduling, notify clients of staff absences, and reschedule appointments
- Maintain direct service metrics for staff receiving scheduling support
- Provide administrative support including data entry, survey distribution and tracking, coordination meetings, meeting minutes, appointment scheduling, caller screening, and directory maintenance
- Develop and maintain Command POC contact information by installation
- Update referral and community resource directories at least annually according to Navy Certification Standards
- Provide virtual assistance with digital signatures and create reports and documents using Microsoft Office
- Schedule meetings and trainings using Microsoft Teams and/or Adobe Connect
- Screen and connect potentially distraught or difficult callers to appropriate SAIL personnel
Requirements
What you’ll need- Successful completion of a full 4-year course of study in human services or a related field leading to a bachelor’s degree from an accredited college or university, or equivalent combination of education and specialized experience in human services, social sciences, or a related field
- Two years of demonstrated experience providing administrative support to a medical or other social services office
- Excellent facility with computer and office automation software
- Extensive experience and knowledge of all Microsoft Office programs and Adobe
- Excellent customer service skills
- Excellent organizational skills and attention to detail
- Ability to communicate orally and in writing with clients, case managers, and supervisors
- Must be physically located within a reasonable commuting distance of a military installation
- Must be able to work core business hours of the assigned area of responsibility
- Access to U.S. Government facilities and systems required
- U.S. Citizenship required
- Valid driver’s license, transportation, and auto insurance required
- Ability to work independently and as part of a team
- Ability to provide virtual assistance with digital signatures
- Ability to create data-driven reports in Excel
- Ability to create documents in Microsoft Word
- Ability to schedule meetings and trainings in Microsoft Teams and/or Adobe Connect
- Knowledge of counseling terms as they apply to levels of care/treatment and ability to make appropriate dispositions independently
- Ability to use a comprehensive scheduling program to serve multiple locations
- Knowledge of how to respond well in pressured, crisis situations
- Personal or professional experience with the military population preferred
- Personal or professional experience with Navy quality of life programs preferred
