About the role
- Administer contracts with service providers, monitoring contract terms, budgets, SLAs and negotiating conditions.
- Develop and ensure conformity and compliance with the company’s internal policies, ensuring delivery of action plans and keeping documentation and evidence up to date.
- Prepare presentations and management reports.
- Manage the department budget, optimizing costs and ensuring operational efficiency.
- Ensure control of the department’s expenses and payments.
- Verify invoices to schedule payments appropriately.
- Manage the fixed asset inventory and physical assets, and control office and pantry supplies.
- Ensure efficient operation of meeting rooms and other physical spaces.
- Develop dashboards, reports and performance indicators (KPIs) for monthly monitoring of the team’s deliverables.
- Ensure continuous operation of the facilities, including preventive and corrective office maintenance.
- Ensure continuous operation of people logistics and document management services.
- Operate executive and leadership benefits: corporate card, executive fleet, telephony, insurance, parking spaces, among others.
- Act as the focal point for Youse users (yousers) regarding the physical environment and infrastructure service requests.
- Manage sustainability initiatives related to waste and other environmental practices.
- Coordinate activities of the team and outsourced service providers.
- Monitor construction and renovation works.
Requirements
- Bachelor’s degree required — Administration, Logistics or related fields.
- Experience in administrative and facilities areas, with knowledge of contract management, budget control and support to operational teams.
- Microsoft Office — intermediate Excel (experience producing spreadsheets and deliverables).
- Knowledge of SAP and JIRA (considered a plus).
- Quick to adapt and learn in a constantly evolving corporate environment.
- Organized, committed and analytical, able to handle complex processes.
- Proactive in identifying and resolving issues independently.
- Assertive communication skills with internal teams, suppliers and executives.
- Ability to work in a dynamic, multitasking environment.
Benefits
- Availability to work Monday to Friday in Pinheiros, with occasional work on Saturdays (only for construction projects or exceptional demands).
- Workday: 7.5 hours per day
