About the role
Key responsibilities & impact- Greet clients and patients positively and warmly by phone and in person
- Manage incoming calls and schedule veterinary appointments
- Convert more than 20% of new-client calls into scheduled appointments
- Promote Care Companion Plans and services and educate clients about preventive care
- Make weekly proactive reminder calls to clients who are due or overdue for services
- Perform patient intake and discharge
- Facilitate client education and use of the client-facing online pharmacy
- Handle cashier duties, reconcile the cash drawer, and complete opening and closing processes
- Maintain accurate medical charts and documentation
- Collaborate with the veterinary team to streamline patient flow and improve client experience
- Keep the reception area clean and inviting
- Resolve customer complaints and support client satisfaction and loyalty
- Adhere to OSHA standards and company policies
- Learn basic veterinary technical skills, including animal restraint and laboratory duties
- Take on other responsibilities as assigned
Requirements
What you’ll need- High School Diploma or equivalent
- 1+ years of customer service experience; front desk or call center experience preferred
- 1+ years of experience working with computers, including typing, email, and software
- Ability to convert incoming client calls into scheduled appointments
- Ability to multitask accurately in a fast-paced environment
- Ability to remain calm and focused during high call volumes
- Ability to learn and use computer software systems, including PIMs and scheduling systems
- Experience with or knowledge of handling dogs, cats, and exotic animals
- Typing speed of 40+ words per minute
- Basic proficiency with Microsoft Word, Excel, and email systems
- Strong customer service focus and ability to personalize client interactions
- Excellent, professional, and empathetic phone demeanor
- Effective communication skills
- Ability to work 10+ hour shifts, weekends, evenings, and holidays
- Ability to lift 25+ pounds and perform standing, walking, and reaching
- Ability to work around pet-related sounds, smells, space constraints, potential bites or scratches, biological hazards, and medications
- Must adhere to OSHA standards and regulations
