About the role

Key responsibilities & impact
  • Provide comprehensive administrative and operational support to the President & CEO.
  • Manage complex calendars, appointments, meetings, travel arrangements, and executive priorities.
  • Coordinate executive meetings, prepare agendas, compile supporting materials, and manage follow-up actions.
  • Anticipate executive needs and proactively address scheduling conflicts, logistical challenges, and administrative requirements.
  • Support executive decision-making through the preparation of reports, presentations, research, and briefing materials.
  • Serve as the primary liaison between the Board of Directors, Board Committees, and executive leadership.
  • Coordinate Board and committee meetings, including calendars, logistics, agendas, and supporting materials.
  • Attend Board and committee meetings as required and prepare accurate, professional meeting minutes.
  • Handle highly sensitive organizational, personnel, financial, strategic, and governance information with discretion.

Requirements

What you’ll need
  • Associate's degree in Business Administration, Communications, Public Administration, or a related field (required); Bachelor's degree (preferred)
  • Five (5) or more years of progressively responsible executive administrative experience supporting senior executives, executive leadership teams, Boards of Directors, governance functions, or comparable leadership environments (required)
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and document management systems (required)
  • Experience with Board portal software, governance platforms, and electronic records management systems (preferred)
  • Knowledge of executive administration, meeting management, governance practices, records retention, project coordination, and business operations (preferred)
  • Exceptional organizational, communication, interpersonal, planning, and time-management skills.
  • Ability to prioritize competing demands, manage multiple projects, communicate effectively with diverse stakeholders, and maintain attention to detail (required)
  • Professional, trustworthy, highly organized, proactive, adaptable, and resourceful. Demonstrates sound judgment, discretion, initiative, accountability, and a commitment to service excellence.
