About the role

  • Create and prepare sales contracts using provided templates and pricing guidelines.
  • Process signed contracts including downloading, organizing in Google Drive, and updating HubSpot records.
  • Complete deal closure processes in HubSpot, ensuring all required fields are accurately populated.
  • Maintain data integrity across multiple systems (HubSpot, Streetsmart, Airtable, etc.).
  • Create preliminary proposals in Streetsmart (70% completion) for AE final customization.
  • Provision new customers in MSP (Vanta) platform and add customer details, frameworks, and company size information.
  • Set up user permissions and send admin invitations for Vanta instances.
  • Monitor and prevent duplicate deal creation across the CRM.
  • Conduct weekly audits to identify companies with contacts but no associated deals.
  • Follow detailed SOPs and identify improvement opportunities.
  • Collaborate with Account Executives, Customer Success, and Finance teams.
  • Report to Revenue Operations Team.

Requirements

  • 2+ years of experience in sales operations, deal desk, or similar administrative role.
  • Proven experience with HubSpot (strongly preferred).
  • Strong proficiency in Google Workspace (Docs, Sheets, Drive).
  • Experience with contract management and sales documentation.
  • Excellent attention to detail with ability to maintain data accuracy across multiple systems.
  • Ability to work with multiple software platforms simultaneously.
  • Experience with workflow automation tools is a plus.
  • Familiarity with SaaS business models and terminology.
  • Reliable high-speed internet connection.
  • Quiet, professional home office setup.
  • Must be amenable to work US Eastern Time zone hours.
  • Fluency in written and verbal English communication skills.
