About the role

  • Manage a complex calendar across multiple time zones.
  • Schedule and coordinate high-level meetings, ensuring accurate details and timely communication.
  • Anticipate conflicts and proactively resolve scheduling issues.
  • Monitor and manage the Founder’s inbox, draft and review professional responses, and prioritize messages for action.
  • Ensure accuracy, professionalism, and alignment with the Founder’s communication style.
  • Act as a liaison between the Founder and internal/external stakeholders.
  • Track executive priorities and ensure follow-up on critical tasks.
  • Maintain accurate reporting systems for tasks, meetings, and deliverables.
  • Prepare executive briefs and meeting notes, ensuring the Founder is fully informed.
  • Handle travel arrangements, logistics, and itinerary management.
  • Support with retail-related administrative needs, including vendor coordination and reporting.
  • Assist with ad hoc projects and confidential assignments as required.

Requirements

  • Minimum 3+ years of experience as an Executive Assistant, ideally supporting founders, CEOs, or senior executives.
  • Strong knowledge of calendar and inbox management best practices.
  • Proven ability to work across multiple time zones and manage competing priorities.
  • Excellent written and verbal communication skills with high attention to detail.
  • Strong proficiency in digital tools (Google Workspace, Microsoft Outlook/Teams, Zoom, Slack, and project management software).
  • Ability to maintain confidentiality, professionalism, and discretion at all times.
  • Proactive problem solver with strong organizational and task management skills.
