About the role

Key responsibilities & impact
  • Manage the proposal process from RFP receipt to submission
  • Assess compliance requirements, identify risks, schedule and facilitate meetings, and create templates
  • Gather qualification materials including resumes, biographies, project qualifications, references, certifications, and company information
  • Assign responsibilities, monitor working drafts, edit and format documents, and submit final materials
  • Develop and write proposals responding to RFX and other solicitation documents
  • Create proposal outlines and compliance matrices
  • Identify gaps and improvement areas and address them with SMEs and the SAM Lead
  • Coordinate and track daily proposal activities and follow up on data calls
  • Apply color review procedures and ensure content complies with RFX and WPO standards
  • Write bespoke customer answers and embed customer-focused sales messages and win themes
  • Develop and edit simple graphics or tabular presentations
  • Participate in or lead meetings for win themes and proposal development strategies
  • Provide quality assurance and best-practice reviews
  • Train proposal contributors and share lessons learned
  • Prepare and present reports to senior management
  • Perform peer reviews and provide feedback to junior proposal developers
  • Perform FOIA requests and SWOT analysis
  • Serve as a formal-review or compliance reviewer on major pursuits
  • Lead debrief meetings and gather client feedback
  • Lead presentation and interview material preparation
  • Contribute to internal training
  • Lead writing for executive summaries, past performance, management approaches, and resumes/staffing
  • Mentor junior and intermediate proposal specialists/developers
  • Manage multiple proposals with a focus on project management and quality assurance
  • Collaborate with SAM leads, SMEs, Legal, Finance, HR, Marketing, sales, and other departments
  • Write and edit proposal sections for clarity, conciseness, accuracy, and persuasiveness
  • Perform statistical analysis and storytelling around data
  • Research client needs, industry trends, and competitor offerings
  • Track and analyze proposal metrics such as win rates and adjust strategies accordingly

Requirements

What you’ll need
  • Required location: United States
  • Strong written and spoken English communication skills
  • Bachelor’s degree in English, Communications, Marketing, or Business, or 5+ years of experience in a related field
  • Minimum of 5+ years of experience in proposal writing or a related role
  • Experience managing multiple proposals with a focus on project management and quality assurance
  • Successful collaboration with cross-functional subject matter experts and corporate personnel
  • Advanced skills using Microsoft Office, Adobe, and InDesign
  • Excellent understanding of document design elements and marketing techniques
  • Ability to create win themes and embed stories throughout proposal responses
  • Excellent writing and editing skills
  • Ability to handle multiple projects simultaneously and manage competing priorities
  • Strong analytical, problem-solving, and decision-making capabilities
  • Consistent personal ethics including integrity, dependability, initiative, and quality
  • Ability to perform other duties as assigned
  • Required working hours: 10am–6pm EST
