About the role
Key responsibilities & impact- Greet clients and patients positively and ensure every client feels welcome
- Manage incoming phone calls, address client needs, and schedule appointments
- Convert more than 20% of new-client incoming calls into scheduled appointments
- Promote Care Companion Plans and services and educate clients about preventive care
- Make weekly proactive reminder calls to clients due or overdue for services
- Perform patient intake and discharge
- Facilitate client education and use of the client-facing online pharmacy
- Handle cashier duties, reconcile the cash drawer daily, and complete opening and closing processes
- Maintain accurate medical charts and thorough patient documentation
- Work with the veterinary team to streamline patient flow and enhance client experience
- Keep the reception area clean and inviting
- Proactively resolve customer complaints and support repeat visits and client loyalty
- Learn basic veterinary technical skills, including animal restraint and lab duties
- Take on other responsibilities as assigned
Requirements
What you’ll need- High School Diploma or equivalent
- 1+ years of customer service experience, with a preference for front desk or call center experience in a fast-paced environment
- 1+ years of experience working with computers (typing, email, other software)
- Veterinary experience a plus, but not required
- Ability to convert incoming client calls into scheduled appointments
- Ability to multitask in a fast-paced environment while maintaining accuracy
- Ability to remain calm and focused during high call volumes
- Ability to learn and use new computer software systems, including PIMs and scheduling systems
- Experience with or knowledge of handling dogs, cats, and exotic animals
- Typing 40+ wpm
- Basic MS Office products (Word, Excel) and email systems
- Strong customer service focus
- Excellent phone demeanor and professional, empathetic tone
- Effective communication skills
- Flexibility with schedules, including 10+ hour shifts, weekends, evenings, and holidays
- Ability to lift 25+ pounds and perform physical activities such as standing, walking, and reaching
- May be exposed to pets that may bite or scratch, biological hazards, and medications
- Adhere to OSHA standards and regulations
