About the role
Key responsibilities & impact- Serve as the first point of contact and set a positive, caring tone for client interactions
- Convert incoming calls into scheduled appointments and fill the client schedule each day
- Greet clients and patients in a friendly manner
- Manage incoming calls, address client needs, and schedule veterinary appointments
- Promote Care Companion Plans and services and educate clients about preventive care
- Make weekly proactive reminder calls to clients due or overdue for services
- Perform patient intake and discharge duties
- Facilitate client education and use of the client-facing online pharmacy
- Handle cashier duties, reconcile the cash drawer, and complete opening and closing processes
- Maintain accurate patient medical charts and documentation
- Collaborate with the veterinary team to streamline patient flow and improve the client experience
- Keep the reception area clean and inviting
- Resolve customer complaints and foster repeat visits and client loyalty
- Follow OSHA standards and company safety policies
- Learn basic veterinary technical skills, including animal restraint and laboratory duties
- Perform other assigned responsibilities supporting team success and call-to-conversion efficiency
Requirements
What you’ll need- High School Diploma or equivalent
- 1+ years of customer service experience; front desk or call center experience preferred
- 1+ years of experience working with computers, including typing, email, and other software
- Ability to convert incoming client calls into scheduled appointments
- Effective communication, relationship-building, and problem-solving skills
- Ability to multitask accurately in a fast-paced environment
- Ability to remain calm and focused during high call volumes
- Ability to learn and use computer software systems, including PIMs and scheduling systems
- Experience with or knowledge of handling dogs, cats, and exotic animals
- Typing speed of 40+ words per minute
- Basic proficiency with Microsoft Office products, including Word and Excel, and email systems
- Strong customer-service focus and ability to personalize client interactions
- Excellent professional and empathetic phone demeanor
- Ability to work onsite at the hospital or offsite event locations; remote work is not available
- Flexibility to work 10+ hour shifts, weekends, evenings, and holidays
- Ability to lift 25+ pounds and perform standing, walking, and reaching
- Ability to work around animals that may bite or scratch, biological hazards, and medications
- Ability to adhere to OSHA standards and regulations
- Veterinary experience is a plus but not required
