About the role

  • The role at Wealth Enhancement Tax & Consulting Services (WETCS) is accountable, along with other members of the Tax Operations Team, for ensuring effective and efficient operations of our business.\n
  • WETCS helps implement, execute, and optimize operational processes impacting clients, tax advisors, financial advisors, and internal departments that work with our Tax organization.\n
  • Engage with clients to clarify tax operations processes, get Engagement Letters signed, and address client inquiries about tax organizers, required documents, and tax operations.\n
  • Work with clients and Financial Advisory Teams to ensure tax documentation required by Tax Advisors to process new client referrals is available when needed.\n
  • Follow-up with clients to get missing tax documentation and ensure Tax Advisors do not have to engage in operational tasks.\n
  • Work with Financial Advisors to ensure clients’ tax-relevant financial information and related documents are shared with Tax Advisors.\n
  • Ensure clients and Financial Advisors are updated on work status, as needed.\n
  • Help resolve any client and Financial Advisor issues with tax operations.\n
  • Tax Systems Data Setup and Management (~15%)\n
  • Set up client, financial advisor, tax advisor, services, pricing, and other required information in tax operations systems and/or tax software.\n
  • Enter / upload client data and documents into systems.\n
  • Transfer client documents, as needed, to the appropriate systems storage locations.\n
  • Review and ensure accuracy of all tax operations systems data.\n
  • Tax Operations Workflow Management (~45%)\n
  • Send, track, and ensure signing of Engagement Letters.\n
  • Prepare, send, track, and ensure completion of tax organizers.\n
  • Manage receipt, storage and return of client tax documents.\n
  • Process and scan/ingest client documents into tax software.\n
  • Identify missing documents and follow up to get them.\n
  • Gather 1099s and other tax-related forms; Manage 8879s submissions and eFile tax returns; Manage / update workflow statuses in tax operations systems / software; Prepare organizers, tax returns, etc. for clients and Tax Advisors; Resolve issues raised by Tax Advisors regarding missing documents and process; Track regulatory notices, planning / projections / consulting services requests, etc.\n
  • Tax Operations Process Improvement (~5%)\n
  • Assist in defining and implementing tax operations processes.\n
  • Assist with measuring tax operations effectiveness and efficiency.\n
  • Help identify areas for continuing process and systems optimization.\n
  • Reporting, Invoicing, and Record Keeping (~10%)\n
  • Provide pre-defined and ad hoc reporting on tax operations.\n
  • Create and send client invoices, manage chargebacks, and coordinate with Accounting.\n
  • Ensure tax operations and client records are kept up to date.\n
  • General Administrative Support (~5%)\n
  • Set up client appointments with Tax Advisors.\n
  • Assist in organizing team activities\n
  • Foster Teamwork (~5%)\n
  • Build and maintain good relationships with Tax Advisors, Financial Advisors, and clients.\n
  • Collaborate with team members to improve team effectiveness, productivity, & satisfaction.\n
  • Share expertise and assist team members as appropriate.\n
  • Participate in team meetings, activities and offsites.\n
  • Contribute to maintaining a positive and fun team culture.

Requirements

  • High school diploma or equivalent.\n
  • Associate degree preferred.\n
  • Bachelor’s degree strongly preferred.\n
  • Minimum of 3 years of tax operations administration experience.\n
  • Ability to effectively manage multiple tasks or projects simultaneously.\n
  • Strong verbal and written communication skills.\n
  • Intermediate-level experience using Microsoft Excel, Adobe Acrobat, DocuSign, Salesforce, and CCH Axcess Document Collaborative; strong team-orientation.\n
