About the role

Key responsibilities & impact
  • Provide program and project support for research, administrative, and academic activities
  • Coordinate and oversee complex projects and departmental activities, including personnel, payroll, and purchasing
  • Address and resolve inquiries and handle confidential or sensitive information
  • Draft, finalize, create, edit, and distribute communications, publications, presentations, and marketing materials
  • Plan and coordinate meetings and events, negotiate with vendors, manage event budgets, and resolve event issues
  • Manage fiscal activities, budgets, expenditures, accounts payable, purchasing, and financial-system entries
  • Coordinate research proposal/grant submissions and monitor grant spending
  • Schedule courses, classrooms, and laboratories; support faculty recruitment and tenure-review processes
  • Maintain student records and online grade records, respond to student inquiries, and prepare admissions documents
  • Provide complex calendar scheduling, appointment, travel, and engagement support
  • Perform other duties as assigned

Requirements

What you’ll need
  • High school diploma or equivalent high school certification, or combination of education and/or experience
  • 5 years of Administration and Office Support work experience
  • Ability to perform duties consistent with Washington University’s core mission and guiding principles
  • Bachelor's degree preferred
  • 2 years of relevant experience preferred
  • Administrative support, computer applications, Microsoft Office, office organization, and office procedures
  • Experience interacting with all levels of management
  • Ability to work independently and as part of a team
  • Interpersonal communication skills
  • Successful completion of required pre-employment screening, including a criminal background check and applicable additional checks
