About the role

Key responsibilities & impact
  • Provide high-level administrative support to the EVP, Physical Production
  • Assist with the day-to-day operations of the office
  • Manage an extremely active calendar with frequent shifting priorities
  • Schedule meetings, production reviews, screenings and conference calls
  • Coordinate meeting logistics, including conference room scheduling
  • Maintain systems and departmental records for tracking department materials
  • Handle confidential information and materials with discretion
  • Coordinate complex domestic and international travel arrangements
  • Perform other related duties and projects as assigned

Requirements

What you’ll need
  • Bachelor's degree preferred
  • 2+ years of Executive Assistant or related support experience
  • Movie Magic Budgeting and Movie Magic Scheduling experience is required
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong spreadsheet skills required
  • Knowledge of agents, producers, and the film industry required
  • Strong organizational skills with exceptional attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Demonstrated ability to exercise discretion and maintain confidentiality
  • Strong problem-solving skills and ability to work independently
  • Flexibility to work overtime and travel occasionally when necessary
