About the role
Key responsibilities & impact- Provide high-level administrative support to the EVP, Physical Production
- Assist with the day-to-day operations of the office
- Manage an extremely active calendar with frequent shifting priorities
- Schedule meetings, production reviews, screenings and conference calls
- Coordinate meeting logistics, including conference room scheduling
- Maintain systems and departmental records for tracking department materials
- Handle confidential information and materials with discretion
- Coordinate complex domestic and international travel arrangements
- Perform other related duties and projects as assigned
Requirements
What you’ll need- Bachelor's degree preferred
- 2+ years of Executive Assistant or related support experience
- Movie Magic Budgeting and Movie Magic Scheduling experience is required
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Strong spreadsheet skills required
- Knowledge of agents, producers, and the film industry required
- Strong organizational skills with exceptional attention to detail
- Excellent written, verbal, and interpersonal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Demonstrated ability to exercise discretion and maintain confidentiality
- Strong problem-solving skills and ability to work independently
- Flexibility to work overtime and travel occasionally when necessary
