About the role
Key responsibilities & impact- Own and defend complex, multi-time-zone calendars for several executives
- Resolve scheduling conflicts proactively and protect focus time
- Keep a clear view of priorities so the right things get the right hours
- Schedule and prep cross-functional meetings, agendas, docs, and follow-ups
- Run recurring operating cadences: planning weeks, leadership syncs, and offsites
- Triage inboxes, flag what matters, and draft clear correspondence on behalf of the team
- Act as a calm, reliable point of contact across the company
- Coordinate domestic and international travel and itineraries
- Keep expense reports accurate and on time
- Carry the occasional special project end to end
- Serve as a trusted, discreet partner with access to confidential information
Requirements
What you’ll need- 4+ years supporting senior executives, ideally several at once, in a startup or tech environment
- Exceptional organization, judgment, and follow-through — you anticipate needs rather than wait for them
- Excellent written and verbal English; a clear, professional, and warm communicator
- Comfortable working across US time zones (core overlap with Mountain Time) and coordinating with a global team
- Fluent in Google Workspace, Slack, Zoom, and a project-management tool
- Bonus: a gaming or consumer-tech background, experience coordinating with offshore teams, or light chief-of-staff and project-coordination experience
