About the role
Key responsibilities & impact- Monitor the lifecycle of creative projects, ensuring all tasks remain current and deadlines are visible to relevant teams.
- Proactively follow up with task owners to ensure on-time delivery.
- Support the Lead Producer by triaging incoming requests.
- Coordinate team collaboration across Creative Strategists, Designers, Copywriters, and Producers.
- Maintain a birds-eye view across singular projects and the SBU pod.
- Plan and organize project kick-off meetings.
- Build and maintain detailed project timelines.
- Capture meeting notes, document decisions, and track action items.
- Ensure all creative assets are properly filed, labeled accurately, version-controlled, and stored according to team standards.
- Collaborates closely with the creative team and provides clear updates to partners.
- Assist in routing assets to Sales Partners and/or clients for feedback and approvals.
- Provide support for general day-to-day department functions, such as owning tracking documents, and inputting relevant project data in the Airtable workflow management system.
- Support capacity planning and reporting accuracy through ongoing data hygiene.
- Conduct initial reviews of creative deliverables to confirm alignment with brief requirements before stakeholder review.
- Respond quickly to shifting priorities by updating schedules and clearly communicating changes to all partners.
- Demonstrate a consistent spirit of partnership, collaboration, and operational excellence.
Requirements
What you’ll need- Bachelor’s degree in Marketing, Advertising, Fine Arts, Design, or related field.
- Experience with agency and/or in-house marketing experience (project management, account management, editorial content management, integrated marketing).
- Pro-active with strong attention to detail and exceptional organizational abilities.
- Positive, solution-oriented mindset.
- Excellent relationship-building skills and ability to work across disciplines.
- Experience in Airtable or similar project/work management tools is a plus.
